Scanlan International, Inc. is a family owned medical device company specializing in the highest quality surgical instruments. We are in search of an HR Assistant to join our small HR team. This position is based out of our corporate location south of downtown St. Paul. We welcome an on-site work environment Monday – Friday.
POSITION / JOB SUMMARY:
The Human Resource Assistant provides support to the Human Resource department including projects and daily activities under the direction of the HR Director and HR Generalist(s). This HR role will interact with associates across Scanlan Group. Responsibilities include maintaining employee files and records, providing administrative support related to administration of management reports, benefits recruiting, interviewing, hiring, onboarding, time and attendance, leave administration.
45% – Administrative Support:
· Provide administrative support for HR Director and other HR staff as directed by manager.
· Responsible for HR administrative duties such as filing, typing, coping, scanning, etc.
· Responsible for maintaining various reports including various HR activities.
· Create and distribute approved correspondence memos, e-mails, Scanlan newsletters, and any other form of communication as directed by Human Resources Director.
· File Management: Manages filing systems and maintain associate files. Maintain accurate and up-to-date human resource files, records and documentation.

· Onboarding new hires, security and systems set up
· Leave Documentation Preparation: Create personal and medical leave documents; prepare forms and update Leave Spreadsheet.
· Track and maintain job description files and updated job descriptions, reports for annual Job description project. Occasional backup receptionist duties.
20% – Recruitment/ New Hire Process:
· Provide administrative support and generate report documents related to Scanlan Group of Companies Human Resource recruiting activities.
· Provide administrative support for interview scheduling and other activities as requested.
· Ensure accurate and timely administration of the interview processes including scheduling, providing interview documents and information on outlook invitations. Assist with filing of interview and recruiting documentation, ensure completion of reference checks and background requirements for hiring approval, and assist with preparation of offer as directed by HR Director.
· Prepare new associate personnel file
· Administer documents to support onboarding and orientation for new associates to the organization
· Ensure all new hire paperwork is completed, processed and filed.
20% – Associate Support and Customer Service:
· Responsible for working with and maintaining confidentiality at all time, sharing information with others as appropriate.
· Responsible for customer focused, pro-active, and positive associate relations, including timely escalation of potential issues.
· Responsible for working well with others across the organization to ensure continuous improvements.
15% – Responsible for managing or coordinating various company special events or projects as assigned.
· Assists with planning and execution of special events such as benefit enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
QUALIFICATIONS:
Education:
· High School Diploma or equivalent required.
Experience:
· Administrative experience required or equivalent.
· Experience working with customers and demonstrated teamwork. This position will have direct contact with internal and external customers and work directly with our associates.
Skills:
· Strong organizational skills, be detail-oriented and flexible to adjust to changing priorities.
· Ability to manage and prioritize tasks and follow-up on a timely basis.
· Technical: Intermediate to Advanced computer skills including Microsoft Word and Excel, Knowledge or aptitude to learn new systems and programs including PowerPoint, Publisher, Visio, ADP, etc..
· Ability to identify resources to solve problems, apply solutions and recognize situations requiring escalation and respond appropriately.
· Confidentiality: HR positions require the ability to maintain strict confidentiality in all matters related to their work.
