Under the general direction of the Corporate Payroll Director, the HRIS Time & Attendance Specialist plays a key role in establishing and maintaining an operational partnership between Scholastic’s National Service Organization (NSO) business needs and time and attendance delivery to the payroll process team. The HRIS Time & Attendance Specialist is a roll your sleeves-up, hands on role of rigor. The HRIS Time & Attendance Specialist will work closely with the Payroll Process Manager and our business partners in HRIS, HR, Operations and Finance to ensure timely and accurate employee payments and financial recordings. The HRIS Time & Attendance Specialist will work to resolve issues, identify requirements, and develop and or enhance functional design and processes based on the analysis of the business needs and objectives and our technology. The HRIS Time & Attendance Specialist will collaborate effectively with business partners to ensure requirements and functional designs are translated accurately into working technical designs. This is a security sensitive position.
Job Duties:
Functional management of Time & Attendance team and operation:
- Oversees and manages the daily operations of the time and attendance area.
- Responsible for functional time and attendance maintenance, reporting, troubleshooting, overall data analysis, and configuration recommendations.
- Work closely and align with the Workforce Management Systems team on data sharing (import/export) via WIM, reporting, interfaces.
- Responsible for evaluating functional issues reported by business users to provide functional support, break fix analysis, and issue resolution related to time management (using SQL), system access, and training. Escalate internally as required.
- Work closely with business partners to identify business requirements.
- Document business process descriptions, use cases, scenarios, and task and workflow analysis.
- Categorize business processes and make improvement recommendations.
- Run SQL when necessary and validate appropriate audit reports to ensure time file accuracy.
- Collaborate with technical team members to translate business requirements and functional designs into seamless technical designs.
- Serve as the SME (subject matter expert) in assisting employees, timekeepers and supervisors regarding coding of hours worked, leave taken and submission of timekeeping data, pursuant to all polices, rules, regulations, and laws.
- Develop test plans/scripts/objectives and run tests to confirm specification compliance and system validation for releases, enhancements, and modifications.
- Ensure tests are completed within application release parameters.
- Provide best practice solutions based on defined business needs.
- Oversees VLS (vacation lump sum) payment process for all four business units.
- Responsible for developing and implementing training material for new team members.
- Proactively communicate with the Payroll Process team to ensure consistency in schedules resulting in on time transactions.
- Assist with a variety of special projects to improve and/or streamline unit operations.
Minimal Qualifications:
- 5 years’ time and attendance experience, preferable in a payroll/HRIS space.
- Degree in accounting, finance, business or information technology or equivalent experience.
- Experience with larger time and attendance populations (5,000+ employees) with complex pay policies.
- Techno-functional background in the time and attendance and payroll space.
- Proficiency with data analysis and extraction.
- Advanced MS Excel skills required.
Knowledge, Skills and Abilities:
- Experience with data extraction and running reports from various databases.
- Using code to pull data for interpretation and system analysis.
- Skills in analyzing problems, situations, practices, or procedures to: identify and define a problem, formulate a solution, and prepare the necessary actions to follow through
- Skill to assign priorities in order to complete work in a timely manner where there are: changes in workload, pressures of deadlines, heavy workload, changes in assignments, project work.
- Skill to establish and maintain effective working relationships with other staff members, departments, and outside agencies.
- Possess strong mathematical, statistical, and logical thinking skills.
- Strong accuracy and attention to detail.
- Advance skill in the use of Windows, Microsoft Word, & Excel software.
- Ability to remain calm and courteous in the face of upset employees while dealing with their problems/concerns.
- Knowledge of FLSA calculation and Wage & Hour laws.
