Summary – Central Scheduler
The role of a central scheduler is one that requires attention to detail and an eye for efficiency. They are responsible for scheduling the work of their entire organization. This role must take into account many different factors when planning out the schedules, and they must do so in a way that meets the needs of all parties involved. This position works with the managers for various hospital departments, including Acute Nursing, Skilled Nursing, Emergency, Imaging Services, Respiratory Therapy, Laboratory, Clinic, and others as needed to fill open shifts and correctly put out schedules to the staff. The scheduler receives routine functional guidance from the House Supervisor and Chief Nursing Officer concerning scheduling needs. Attention to detail is required, as is the ability to concentrate on many details during other activities. The scheduler works to communicate with staff and has the authority to fill open shifts for hospital departments according to the schedules they provide. This position will also work with managers to search and fill traveler contracts and will liaison with the Housekeeping Supervisor for staff and traveler housing needs. The scheduler will follow very specific protocols in scheduling according to District policies and the Union Memorandum of Understanding.

Essential Functions – Central Scheduler*

• Create and/or fill departmental schedules based on shift requirements, including working hours, breaks, and overtime pay.
• Coordinate with other departments to ensure that the available resources meet the needs of the District.
• Communicate with employees to update them on any changes to their schedule or letting them know if they are needed at work.
• Review employee schedules to ensure compliance with labor laws and company policy. Ensures compliance with applicable Union Memorandum of Understanding guidelines and rules.
• Responsible for efficient, expedient, and accurate scheduling. Effectively communicate with staff and managers both in person and via telephone.
• Track and record “no-shows”, tardies, and other disciplinary actions per department and report this information back to the department manager.
• Communicate scheduling concerns or problems to their supervisor.
• Perform all other duties as assigned or requested.

• Support internal and external HR-related inquiries or requests.
• Maintain digital and electronic records of employees.
• Assist with the recruitment process by identifying candidates, scheduling interviews, and assisting with employment contracts.
• Assist with maintaining the calendar of the HR Director.
• Assist with writing articles, pulling together content, and assisting with the production of the Seneca newsletter.
• Oversee the completion of compensation and benefit documentation.
• Assist with Union negotiations, contract discussion, and new and current job pay rate negotiations.
• Assist with performance management procedures.
• Assist with scheduling staff appreciation events, all-staff meetings, and develop agendas as needed.
• Help with coordinating training sessions and seminars.
• Perform orientations and update records of new staff.
• Produce and submit reports on general HR activity.
• Assist with termination paperwork and exit interviews.
• Keep up-to-date with the latest HR trends and best practices.

Qualifications

• High School education or GED equivalent.
• Possess strong oral and written communication skills and attention to detail.
• Experience in Human Resources or an administrative capacity.
• Knowledge of HR functions and best practices.
• Experience in scheduling, time management, and/or project management preferred.
• Proficient in Microsoft Outlook, Microsoft Word/Excel, computer knowledge to navigate internet, etc.
• Possess accurate data entry skills with 60 WPM average.
• Possess the ability to follow instructions and follow through on assigned tasks.
• Must be able to meet tight time frames and be available as needed and on an on-call basis.
• Customer service experience is desirable.
• Previous hospital or clinic experience is desirable.
