We are currently looking for an Executive Assistant for our Human Resources (HR) Group. In this fast paced position, you would be responsible for providing administrative support to the VP of Human Resources. You will perform various administrative and clerical duties to ensure efficient operations of the officer. This is a high visibility position with frequent interaction with executive leadership. If you are looking for a long term career and want to join a best in class carrier where your talents are appreciated, then we would love for you to join our team!What you’ll do on a typical dayConduct I9/Transportation Security Administration (TSA) training as needed, coordinate annual TSA training, and update TSA training recordsAssist with payroll administration by adjusting time clock for missed punches and entering vacation and personal timeAssist with the coordination of Southeastern’s annual associate Survey, Discuss, and Implement (SDI) survey process by coordinating mailing preparations, updating SDI spreadsheets and reports, and compiling data and comments for analysisCompile and complete all Equal Employment Opportunity Commission (EEOC) information, including the preparation and submission of the annual EEO-1 ReportPrepare a variety of reports and documents, including those which contain confidential informationTake and maintain meeting notes. Follow up on action items to ensure they are accomplished in a timely mannerManage ad-hoc HR special projects as assigned by the VP of HRAssist in the coordination and preparation of annual Strategic Planning meetingsPrepare rough drafts of reports. Draft and edit employment verification letters and complete verifications of employment and safety performance history record requestsMaintain the calendar and regularly arrange meetings, conferences, and appointments for the VP of HRCoordinate all aspects of meetings and conferences to include preparing agendas, assembling materials and presentations, and arranging lunch breaksArrange hotel and travel accommodations for business trips and processing expense reportsOrganize and assist with annual expense budget process.
