Job Overview
SMD is seeking an experienced and professional Clinical Team Supervisor to manage our clinical team of medical assistants and scribes. We will consider Registered Nurses, Licensed Vocational Nurses, and Certified Medical Assistants for this position.
This role is primarily responsible for direct supervision of staff, oversight of our patient experience, and day-to-day clinical operations management. To be successful in this position, the Clinical Team Supervisor must be cheerful, friendly, polite, tactful, and professional in appearance and manner. This role reports to the Practice Administrator and the Physician Owners.
Job Responsibilities for Clinical Team Supervisor
1) Staff Supervision
– Supervise team of 8+ clinical staff in the performance of their daily duties, including but not limited to:
– Oversee patient in-office experience and flow
– Manage clinical team staffing schedule: prepare weekly schedule; review/approve full staff PTO requests; communicate with team in the morning as needed for call-outs; provide back-up as needed for coverage of PTO / breaks; update PA and Providers regarding schedule changes
– Schedule (monthly) clinical team meetings; draft agenda and lead discussion
– Work with the PA to recruit and hire staff as needed
– Develop and administer training plan for new hires
– Provide ongoing leadership and coaching as needed to ensure clinical team staff are knowledgeable, efficient, and providing excellent customer service
– Collaborate with the Practice Administrator and Physician Owners to draft and conduct performance reviews for clinical team staff
– Mediate clinical team issues and ensure all staff adhere to our values and policies; escalate to PA as appropriate
2) Patient Experience
– Motivate staff to always be positive, polished, and professional in their interactions with patients, leading by example
– Draft scripted language and train staff to provide patients with consistent, top quality service and an engaging experience, and to address common patient concerns
– Manage patient flow throughout the entire process (beginning with patients arrival in the lobby, rooming, visit and services, check-out, and follow-ups.
– Improve patient satisfaction ratings, especially regarding returning patient messages and processing pre-authorizations and prescription refills in a timely manner
3) Daily Operations
– Document and maintain operational policies and procedures; ensure execution in a consistent and expeditious manner; monitor quality control
– Respond to very high demand for services in a productive and efficient manner; recommend and implement improvements to achieve greater productivity
– Identify and solve operational problems independently; involve / escalate to PA as appropriate
– Manage medical records with attention to detail and accuracy; become an internal “expert” on EMA
– Ensure staff adhere to company, industry, and regulatory regulations (e.g. HIPAA, OSHA, CLIA)
– Assist with audits of patient information; MIPS goals and documentation
– Oversee appearance of facilities and patient areas (cleanliness, stocking, etc)
– Review/approve ordering of medical office supplies within budget
– Perform other duties as assigned by the PA or Physician Owners

Hours: Full-time (approximately 40 hours per week) Mon – Fri
Compensation: $28 – $32 per hour based on licensure and commensurate with experience.
