GENERAL SUMMARY:

The medical records assistant is responsible for the proper recording, filing and upkeep of the Health Center medical records, assists the Director Nursing Services with coordination of medical staff, and manages supply and equipment inventory and ordering for the Health Center.

Essential Job Duties:

Medical Records

• Maintains complete and accurate current and discharged residents’ medical records.
• Sends correspondence to Providers relating to requested medical record information.
• Maintains Vendor Contract Book, physician privilege process, and coordinates Medical Staff Meetings in conjunction with DNS and Medical Director.
• Maintains confidentiality of medical data.

Central Supply/Purchasing

• Orders medical supplies and coordinates equipment purchases and rentals using CPSI vendors whenever possible and following the Health Center’s purchase ordering policy in order to maintain sufficient inventory levels of medical supplies and equipment.
• Receives and returns medical supplies and equipment including the tracking invoices for accounts payable. Manages allotted budget using spend down sheets.
• Stocks supply rooms including the labeling of supplies.
• Reviews medical supply charge book and assembles charge sheets for accounting.
• Tracks resident/patient equipment use and equipment billing/rental procedures.
• Functions as Health Center liaison with medical supply and equipment vendors.

Staff Scheduling

• Prepares staffing schedules in cooperation with Director Nursing Services and established staffing plan, coordinates the interview process for new hires. Acts as staffing liaison to HR.
• Alerts Director Nursing Services for follow-up when the staffing schedule can not be adjusted to comply with an employee’s request for PTO.Daily management of the schedule r/t staffing changes, absences and the disciplinary process.
• Contacts per diem staff and other staff member to fill gaps in the staffing schedule.
• Arranges for agency and/or pool staffing when directed by the Director Nursing Services

Supports the Admission Coordinator with:

• Reviewing all admission related paperwork with the resident and/or responsible party including Medicare Part A coverage and non-coverage procedures.
• Maintaining all non-medical record related paperwork in an admissions file for each resident.
• Verifies payor source
• Fielding telephone calls related to admissions
• Providing Health Center tours and pertinent information regarding admissions when Admission Coordinator and Health Center Receptionist are not available.

OTHER DUTIES:

• Attends in-service training and education sessions as assigned by supervisor.
• Performs specific work duties as assigned by the supervisor.
• Assists in maintaining a high level of customer satisfaction for our residents and guests.

QUALIFICATIONS:

• High school graduate. Ability to communicate effectively in English and perform simple arithmetic.
• Word processing experience and knowledge of medical terminology preferred.
• One year experience in a health care setting preferably in long term care.
• Requires good judgment to plan, perform and set-up sequences within standard procedures.
• Requires analysis of facts and information to take action following established guidelines.
