Responsible for new referral intake and scheduling all PET/CT and diagnostic CT patients referred to PET/CT Imaging at Swedish Cancer Institute. Responsible for understanding which IDC-10 codes are eligible for the different PET/CT scans that we perform (PET/CT mid skull to thigh for cancer or infection, PET/CT top of skull to below feet for cancer or infection, PET/CT brain for epilepsy, PET/CT for dementia, PET/CT brain for tumor vs radiation necrosis, Amyvid PET/CT of brain for dementia, NETSPOT PET/CT for neuroendocrine tumors, Axumin PET/CT for prostate cancer, Pylarify PET/CT scan for prostate cancer, Radiation Treatment planning PET/CT, and PET/CT for cardiac sarcoidosis).

• Answers the phone, answers questions, receives new referral intake, and schedules all PET CT scans. Demonstrates ability to handle multiple tasks and priorities in an efficient manner.
• Maintains knowledge of and provides accurate patient exam preparation and protocol information to both physician’s offices and patients.
• Assists with distribution of PET/CT information to Physicians offices as needed.
• Coordinates a variety of in-services as needed (i.e. AccuChek) and coordinates scheduling with other departments.
• Obtains physician referral, verifies insurance coverage and eligibility, and contacts the payer for necessary pre-authorization for services.
• Maintains knowledge regarding any changes in PET and PET/CT coverage issues with insurers, etc.
• Maintains computations of PET statistics and updating of SPN data spreadsheets.
• Effectively acts as a liaison between patients, physician’s offices, and radiologists.
• Actively works with physicians and other departments to develop existing or new PET/CT services. Makes sure that systems are in place to accommodate these changes (i.e. adding CPT codes to forms, communicating changes with the financial office, updating chargemaster, etc).
• Is consistently proactive with informing the technologist and/or radiologist when there are problems, constraints, or special accommodations needed for effective patient service.
• Coordinates interpreter or transportation services as needed.
• Orders FDG (Radiopharmaceuticals) in a timely manner. Appropriately cancels FDG (Radiopharmaceuticals) as needed. Orders supplies as appropriate.
• Acquires all necessary patient information for the procedure prior to the exam including, but not limited to: History and Physical reports, lab reports, other pertinent and/or correlating imaging films and reports.
• Coordinates, organizes, and maintains patient charts and prior film receipts and returns.
• Self motivated to take action, does more than is required or expected, does activities and tasks no one has specifically requested. Performs other duties as assigned.
• Demonstrates a high level of skill utilizing various computer systems and programs to facilitate and accomplish scheduling, pre-registration, registration, and ordering.
• Pre-registers patients in a timely manner.
• Communicates well with team members and other stakeholders in the department. Accepts instruction, guidance and corrections in a positive manner.
• Is cooperative, respectful and helpful to others in the workplace (co-workers, managers, physicians) in support of the delivery of patient care and services. Conducts appropriate discussions regarding operational, system and personnel issues with the designated leadership.

Required qualifications:

• 2 years of previous experience in an outpatient medical setting with extensive customer service interaction.
• Experience with insurance authorization and verification.

Preferred qualifications:

• Coursework/Training 2-4 year degree.
• Previous experience with coordination of medical services or management
