JOB DESCRIPTION

JOB TITLE: Behavioral Health Coordinator

DEPARTMENT: Behavioral Health

SUPERVISED BY: Site Operations Manager

Qualifications: Possess and demonstrate effective and empathic communication and interpersonal skills;

• competent organizational and time management skills;
• previous healthcare delivery experience in an integrated primary/behavioral care setting
• ability to work with individuals with diverse educational, economic and cultural backgrounds
• strong computer and electronic medical record skills
• Supervision: Reports to lead psychologist and clinic director
• Essential Functions and Responsibilities: Proactively provide broad array of clerical, case management and clinical coordination to Center’s behavioral health services providers and patients. Specifically,
• schedule and confirm new and follow-up behavioral health appointments
• follow up on no-show patients and fill same-day cancellation slots
• administer new and returning patient self-report and satisfaction questionnaires
• process referrals to local support programs and psychiatrists
• inform providers when an Outpatient Treatment/Authorization Report requires completion and submit such reports to the insurance carrier
• provide patient education related to community behavioral health resources, insurance information, indigent patient/patient assistance/pharmaceutical assistance program and other Center programs
• coordinate all external referrals for behavioral health services; e.g., for psychiatric consultations, for tele-behavioral health appointments
• Perform receptionist/secretarial and record keeping duties which may include:
• Answering multi-line phone system, taking messages/sending e-mail
• Sending phone messages to members of the patient care team (nurses, medical assistants, primary care providers) within the electronic medical record
• Completing basic, initial phone screenings with new referrals
• Scheduling patient appointments in the electronic practice management systems
• Verification of patient insurance eligibility and obtaining authorizations when necessary

JOB RESPONSIBILITIES:

• Greet patients and visitors in a professional manner

• Pay attention to detail in regards to all aspects of job requirements

• Enter information correctly in system

• Ensure that patient signs in sheets are completed

• Verify all patient demographics

• Verify all patient insurance information and enter correctly in system

• Arrive patients in timely manner

• Make patients ready for provider in a timely manner

• Understand process of triage/walk-ins and same day appointments

• Enter correct insurance information pertaining to primary and secondary benefits

• Understand Medicare/Medicaid and insurance plan benefits

• Maintain all responsibilities and accuracy of sliding scale information in a timely manner

• Collect copays and monies due at the time of visit

• Ensure that all patients waiting in the lobby are being attended to

• Review daily posting

• Count down drawer with front desk lead

• Keeping cash drawer locked at all times

• Participates in educational activities and attends monthly staff meetings

• Maintains strictest confidentiality; adheres to all HIPPA guidelines/regulations

• Answer telephone in a pleasant and helpful manner

• To understand, follow oral and written instructions

• Make sure that all visitors sign in on appropriate sheet and visitor tag is given

• Keep area neat, clean and organized

• Scanning

• Other duties assigned

COVID-19

SWLA Center for Health Services (SWLA CHS) has a policy that requires all employees to be fully vaccinated against COVID-19 (including any booster shots if required), where allowable under the law, unless they receive an approved exemption based on medical condition, or sincerely held religious belief that prevents them from being vaccinated.

If you are not fully vaccinated, you will be required to have received at least one COVID-19 vaccination prior to your first day of employment and provide proof of your vaccination status on the Orientation Day of your employment. For the two COVID-19 shot vaccination regimen, you will be required to provide proof of your second COVID-19 vaccination within the first 45 days of your employment. In some roles, you may be required to provide proof of full vaccination before you can begin to actively work. Failure to provide timely proof of your COVID-19 vaccination status will result in the termination of your employment with SWLA CHS.

If you are unable to be fully vaccinated due to medical condition, or sincerely held religious belief, you will be required to apply for an exemption within the first 5 days of your employment in order to remain employed with SWLA CHS. As a part of this process, you will be required to provide information or documentation about the reason you cannot be vaccinated. You will be required to have an approved exemption before you can begin to actively work. If your request for an exemption is not approved, you will be required to be fully vaccinated or your employment may be terminated.
