The Executive Assistant to the CEO will have an expansive impact across the organization with a front-row seat to the inner workings of this mission-driven organization. This strategic partnership with the CEO requires engagement at the business level, thoughtfulness, confidentiality, a supreme bias towards action, and a passion for helping others.
WHAT YOU’LL DO
Provide primary support to the CEO in collaboration with the Chief of Staff in all administrative functions, including calendaring, schedule management, inbox management, travel coordination, expense reconciliation, and other high-priority items.
Efficiently manage the CEO’s calendars across multiple time zones. Work with the CEO to create an ‘ideal work week’ and adjust the calendar according to shifting priorities. Act as a priority setter for meeting requests while minimizing the executives’ day-to-day distractions.
Act as an important internal liaison between the CEO and direct reports; create agendas and attach resources for 1:1s
Triage the CEO’s emails and respond directly, where possible, promptly.
Confirm in-person and virtual meetings/engagements; assist with research, material preparation, location/dial-in details, minutes, and follow-up on actionable items.
Ad hoc support to the Chief of Staff with creating and editing decks, gathering materials, and preparing agendas for meetings and speaking engagements.
Coordinate travel, including flight itineraries, hotels, ground transport and vehicles, and dining reservations.
Relationship management – track key stakeholders, investors, clients, and interdepartmental relationships.
Prepare for team and department meetings with necessary materials, data, information, logistics, and resources.
Serve as the CEO’s office representative externally with the utmost courtesy and professionalism.
Build cross-functional internal relationships representing the office of the CEO, including partnering closely with other executive leaders.
Identify inefficient processes, anticipate needs, and understand the workflow.
Partner with your executive to track key project milestones and progress against the personal, team, and company goals/targets.
Act as a ‘culture carrier’ within the organization and continuously help cultivate and evolve the culture.
Work with the recruiting team to facilitate coordination as well as at times for strategic roles helping with sourcing of new candidates via LinkedIn
Make recommendations for your executive regarding their time management, prioritization, delegation, and organization.
Take on additional responsibilities as the business grows and be a key partner on special projects as needed.

Experience using G-Suite, Notion, Slack is a plus
