Human Resources Coordinator

GENERAL SUMMARY OF POSITION:
Human Resource Coordinator will be responsible for assisting the Director of Human Resources & Payroll with specialized administrative tasks, including on-boarding, employee experience, managing and overseeing records, payroll cross-training and generating reports. The on-boarding duties will include providing a positive transitional program and culture experience for our employees during all transitional periods of the employment life cycle.
ESSENTIAL FUNCTIONS:
• Handles the onboarding process of new hires, including employment applications and background checks.
• Ensures all new hire paperwork is received, processed, and accurately filed.
• Performs customer service functions by answering employee requests and questions.
• Conducts or assists with new hire orientation.
• Assists with processing of terminations.
• Scans and files documents into appropriate employee files.
• Prepares and assists in preparing correspondence as requested.
• Assists with benefits administration including open enrollment, additional enrollments, changes, and terminations.
• Conducts audits of payroll, benefits, or other Human Resource programs and recommends corrective actions and process improvements.
• Serves as liaison for employees, ensuring employees’ needs are communicated to the Director of HR and/or properly handled.
• Performs periodic audits of Human Resource files and records to ensure that all required documents are collected and filed appropriately.
• Cross-trains to assist with payroll processing and time keeping management.
• Assists with departmental mailings for benefits, 401(k) and ESOP.
• Maintains the integrity and confidentiality of Human Resource files and records.
• Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, and employee recognition events.
• Performs other related duties as assigned.
QUALIFICATIONS:
0-1 years of Human Resources experience is preferred. Possession of at least a high school diploma is required and a post-secondary degree or college classes in Human Resources or Business Administration is preferred. Demonstrated aptitude for problem-solving, strong interpersonal skills, documentation skills, organizational skills and multi-tasking skills are essential. Must be self-motivated to prioritize and manage workload, project deadlines, and possess excellent time management skills. Extensive customer service skills, a high level of professionalism and willingness to handle all details of tasks and projects, while displaying high energy and a positive attitude. The ideal candidate must thrive in a challenging and fast paced atmosphere where prioritizing and multi-tasking are the norm. Exceptional attention to detail and first-class organizational skills are mandatory. Attitude and spirit are valued and must possess a “do whatever it takes” mentality which includes pitching in to help colleagues when needed. Must be a team player but also able to work independently with minimal supervision and work under tight deadlines. The ability to learn new concepts/procedures quickly. Must possess excellent verbal and written communication skills. Proficiency in using Microsoft Office Suite applications. Proficiency in Human Resources databases and sensitivity to confidential information.
PHYSICAL REQUIREMENTS:
Ability to communicate orally in a clear, concise, and effective manner with the customers, account representatives, company representatives, management, staff, and the public in face-to-face, one-on-one and group settings. Ability to use a telephone for communication. Ability to maintain regular, predictable, and punctual attendance at the corporate office and/or event site. Ability to establish and maintain effective working relationships with others. Use office equipment such as a personal computer, copier, and facsimile machines. Ability to communicate in writing in a clear, concise, and effective manner. Sit or stand for extended time periods. Hearing and vision required to be within normal ranges. Read at, above, and below shoulder height. Occasionally stoop, kneel, or crouch. Sufficient manual dexterity required to operate equipment. Normal range of tolerance to household and other types of typical industrial/ construction chemicals and solvents. Ability to work outside standard office hours, as required.
