Position Description:
Proactively manage, coordinate, and execute all administrative functions, programs, and activities of the sales, marketing, and customer service teams.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Assist and support new business activity for the sales, marketing, and service teams which could include creating or editing collateral material, Power Point presentations and calling partners/clients to obtain information.
2. Maintaining appointment schedules and calendars.
3. Planning and scheduling meetings, conferences, and travel including flight and hotel bookings.
4. Coordinate partner content relationships and communication project activities. Coordinate deadlines for Omnia and partner content and follow-up with Omnia team to ensure those are met.
5. Manage partner programs using Salesforce. Compile and report on partner event results, including budget summaries, event attendance, lead generation, conversion, etc.
6. Manage tradeshows: Plan, organize, coordinate, execute all trade show and travel activities, such as registration, order furniture, electrical, card reader, get booth ready for shipment, ship booth there and back, pack needed supplies. Pack and unpack booth.
7. Pre & post show mailings after checking list in contact management database and entering info if not already there. Research to obtain addresses, phone #s, email addresses.
8. Conducting research using the Internet and other resources, compiling results and preparing reports, such as: Seek out and research content publishing opportunities, speaking engagements and potential tradeshows or other client growth opportunities.
9. Research potential tradeshows or other client growth opportunities as requested, including making outbound calls to solicit information if necessary.
10. Create, edit and/or refine Powerpoint Presentations for our marketing and client education webinars.
11. Coordinate and create webinar events with the marketing department.
12. Manage complimentary assessment, promotional code and Omnia content process flows.
13. Create sales proposals and sales proposal templates.
14. Other duties as assigned.
PILLARS OF SUCCESS IN THIS ROLE:
QUALIFICATIONS: The requirements listed below are representative of the knowledge, skill, and/or ability required.
Education: Bachelor’s preferred.
Experience: A minimum of five years of hands-on experience in an administrative role involving tradeshow and travel coordination.
Technical Skills: Advanced skill in Microsoft Office (Outlook, Word, Excel, PowerPoint). Knowledge of SalesForce, Canva, graphics, and social media applications helpful.
Abilities: Meticulous attention to detail, a deep concern for quality.
Ability to multitask and prioritize work, excellent time management skills. Ability to work independently and under the pressure of deadlines.
Ability to learn new tools quickly. Excellent interpersonal communication.
Strong writing skills. Highly organized.
A team player who is proactive, flexible, and results-oriented.
Language Skills: Excellent verbal and written communication. Ability to read and interpret business documentation. Ability to respond to common inquiries or complaints from clients and other members of the business community.
Mathematical Skills: Ability to add, subtract, and compute numbers.
Reasoning: Ability to understand and carry out instructions, both written and verbal within defined parameters.
PHYSICAL DEMANDS:
Employee is required to sit, talk and hear, use hands for keyboarding and the telephone. Is also required to walk and to occasionally lift and/or move up to 25 pounds. Position requires ability to see computer screen.
