Normal Work Schedule: Monday – Friday 8:00am to 4:45pm
Job Summary: Under limited supervision, assists the department head or director in the day-to-day operations of a program. Oversees the program support, general office, administrative and secretarial duties with some variety and complexity. Typical duties may include overseeing some aspects of the program, acting as the main liaison to other offices within the University as well as external contacts, maintaining budget records, supervising other support staff and-or students, arranging meetings-itineraries-agendas, typing a variety of material, compiling data and preparing reports, and purchasing office and program supplies and materials.
Additional Department Summary: The Program Assistants provides support for all program support areas, including enrollment management, advising, student achievement, summer programs, marketing/recruitment, and pre-Early College programs. Maintains budget records. Reconciles P-card information. Maintains financial receipts. Maintains school system invoices. Coordinates application fees. Assists with completion of departmental transfers, journal entries, MDV’s, P-card, etc. Assists with ordering promotional materials, printing materials, and office supplies. Assists with answering of multi-line telephone and responding to email inquiries. Work some evenings and weekends, as needed.
Required Minimum Qualifications: High school diploma or the equivalent and three (3) years of general office experience; OR Associate’s degree and one (1) year of general office experience; OR a Bachelor’s degree.
Additional Required Department Minimum Qualifications: Must have valid U.S. driver’s license. Must be at least 19 years of age at time of hire and have an acceptable Motor Vehicle Report that is in compliance with University policies. Applicants under the age of 21 will have some driving restrictions.
Skills and Knowledge: Proficient in Microsoft Office. Exceptional interpersonal communication skills. Ability to work with diverse groups of high school-age students, parents, and educators. Ability to work well in a team setting. Ability to communicate effectively to various groups of people.
Preferred Qualifications: Experience in Concur, Banner, Slate CRM, OnBase, Blackboard Learn, and/or mail merge software. Experience working with a P-card and reconciling P-card information.
