Program Director of Operations – Indiana Women’s Prison (Limited Term)

The Program Director of Operations will oversee the day-to-day operations for the Women’s College Partnership (WCP) at the Indiana Women’s Prison (IWP) and will be responsible for the success of the program’s mission to ensure stable and thriving college opportunity for incarcerated women in Indiana. This position will consult and collaborate with the Steering Committee on faculty recruitment and supervision; participate in curricular development; coordinate logistics with the administration of IWP; serve as liaison between the Women’s College Partnership, the Department of Corrections, WCP students, faculty, and the Marian University Steering Committee and administration; and act as academic advisor for students with the support of the Steering Committee. The position may also include teaching opportunities.
The Operations Program Director will to the Notre Dame Programs for Education in Prison Director and will collaborate with the Indiana Prison Liberal Arts Network, in cooperation with the Bard Prison Initiative. This person will embody every part of the college in the minds of the students. As noted below, the position also entails a number of regular logistical responsibilities which must be performed reliably, consistently, and transparently. This is essential to running a smoothly functioning project inside such a Department of Corrections facility. Yet it is also crucial to creating a campus that is distinct in temper and mechanics from the surrounding institution. Preferred candidates will have a Ph.D. and experience as college faculty or administrators. The successful candidate will excel at working in a community that is broadly diverse with regard to race, ethnicity, socioeconomic status, gender, nationality, sexual orientation and religion.
Key responsibilities include:
1. Academic direction: work effectively under the guidance of the Marian University steering committee to develop a curriculum for the AA and BA through the initiative.
a. Develop an academic calendar. Make sure there is agreement with the facility calendar and when WCP classes will and will not meet.
b. Meet with the Marian Steering Committee to review lists of professors for each semester. Work with Marian committee and other relevant offices as appropriate to review student degree progress and academic policy for consistency.
c. Selecting and scheduling courses and faculty every semester based on degree needs, student interests, and programmatic scheduling needs.
d. Maintain up-to-date student and faculty handbooks that reflect current WCP and Marian policies, standards, and processes in consultation with the Marian steering committee.
e. Coordinate commencement and graduation logistics between Marian, students, and the facility.
2. Student advising and support
a. Manage over-all student affairs support that includes academic and non-academic well-being. Coordinate closely with the Indianapolis Reentry Specialist on preparing for release dates.
b. Oversee the coordination and logistics for the Indianapolis Reentry Specialist’s work inside IWP pre-release including gate-release and call-outs, scheduling and programming.
3. Communications
a. Manage questions and communications between students and faculty in a timely, accurate manner and serve as the liaison between students and Marian University as it relates to degree attainment and academic standing.
b. Proactively and consistently communicate with faculty. This includes faculty orientation at the start of every semester, weekly faculty meetings, and ongoing one on one communication as needed. The Director will be responsible for working with faculty to navigate issues related to the specific circumstances of college in prison including student absences, student performance and all other issues the come up. Work with faculty on troubleshooting and planning around faculty absences, course cancelations and other disruptions that emerge in the college in prison environment.
c. Monitor and respond to student performance issues, ensuring academic support systems as needed.
d. Coordinate with relevant Marian offices on Pell Grant eligibility and work with students on FAFSA applications and loan rehabilitation.
e. Keep track of student requests, questions, and concerns and learn how best to address them. Some inquiries can be handled directly; others should be brought to the Marian Steering Committee, Indiana Prison Liberal Arts Network, IDOC’s, or college administrations. Still others must be made by students in writing.
4. Maintain professional and functional relationships with necessary IDOC staff on site as well as with IDOC central office logistics
a. Recruit, vet, and train new faculty, collect and advise on syllabi for upcoming courses.
b. Recruit tutors, and other WCP volunteers for study hall, post-degree, and extracurricular activities
c. Arrange for all volunteer training, “gate clearances” and other paperwork for faculty, staff, and campus visitors.
d. Purchase, organize, and deliver all books and supplementary materials for all classes in a timely fashion, and have them “cleared” by the prison authorities; Cultivate and manage space dedicated to the program.
e. Oversee WCP library and academic research efforts currently managed by a part time research librarian.
5. Programmatic Leadership
a. Direct and develop the long term vision and strategic planning development of WCP alongside NDPEP leadership to ensure longevity and stability of college access at IWP and for women in Indiana. This includes assisting in accreditation efforts.
b. Manage purchasing and annual budget for the program under the leadership of NDPEP.
c. Coordinate on fundraising and development efforts for the ongoing and long term stability of WCP under the leadership of NDPEP including marketing and communications around the program and its achievements.
d. Manage the WCP office in Indianapolis.
e. Develop and manage rich collegial experiences including extracurricular and post-degree activities at IWP.
f. Supervise WCP research librarian and any other part-time or semester-based staff the program may hire over time.
g. Establish a presence on Marian campus including taking part in Steering Committee meetings and hosting information sessions
h. Maintain the Marian CANVAS course for easy sharing of relevant materials between WCP and Marian.
6. Maintain a regular presence on site, reasonably accessible to participants and DOC staff, while remaining of the college’ and not of the facility.
7. Function independently, trouble-shoot issues on site, and manage time effectively to support the goals of project.
8. Responsible for data collection, ing, grant-writing, assessment, program evaluation and coordination with NDPEP colleagues doing assessment work.
Notes:
This position is based in Indianapolis, IN and will require periodic travel to South Bend. The director is expected to work from the WCP offices in downtown Indianapolis as well as on-site at the Indiana Women’s Prison along with meetings and events at Marian University. Access to consistent transportation will be necessary for this position, as well as clearance through the Indiana Department of Corrections.
This position is a 2-year term position that will end June 30, 2024. Renewal of the position beyond the 2-year term period will be contingent on funding.
