Full Job Description
The Onboarding Specialist has a vital role in acclimating candidates to Verbal Beginnings by ensuring they are set up for success. The Onboarding Specialist provides exceptional customer service and goes above and beyond to follow up with candidates; takes initiative to understand company processes; and serves as a brand ambassador for the company by ensuring a positive candidate experience. In addition, the Onboarding Specialist is responsible for managing, coordinating, executing all onboarding activities to include interacting with new hires and ensuring that all candidates appropriately complete necessary onboarding documentation in a timely manner.
Responsibilities of the Onboarding Specialist include:
Send Welcome Emails to new hires
Send orientation confirmations
Compile and update employee records in ADP
review offer letters and employment agreements
Initiate and review background checks, references and ensure proper credentials
Create Onboarding Packets for new hires and set up user accounts
Mange the standard operating process for onboarding and keep up to date records in all systems
Assist candidates with new hire orientation preparation and benefits explanation
Work with leadership to compose new hire schedules for field and center
Monitor electronic onboarding completion
Ensure compliance with all regulations and oversee I9 and E-verify process
Ensure accurate and timely completion of new hire paperwork
Provide administration/reporting support for data requests
Qualifications of the Onboarding Specialist:
Experience in onboarding and/or HR
Excellent prioritizing and time management skills
Ability to think outside of the box and implement solution forward processes
Sense of urgency and diplomacy
Excellent verbal and written communication skills
Superior interpersonal skills, ability to work well as part of a team
Detail oriented with meticulous accuracy and thoroughness
Ability to work with and communicate effectively with all levels of the company
Ability to work well under pressure and remain tactful, kind and professional
Ability to maintain a high level of discretion and maintain confidentiality of sensitive information
Ability and accountability to continually manage daily tasks and processes in a fast growing, ever changing work environment with multiple priorities
Proficient in Google Documents and Sheets
