The HR, Payroll Specialist is a hybrid role supporting the HR and Accounting team. This person will be responsible for general accounting transactional processing with payroll and benefits as the key areas of ownership. The role will facilitate twice monthly intercompany payroll processing and support HR Operations as needed. The position will require a high degree of accountability, transparency and understanding as it relates to the payroll process, including but not limited to tracking and implementing employee and benefit changes, multi-state payroll tax compliance and partnering with HR to ensure timely and accurate payroll and benefits transactions. What You’ll Do
Ownership of semi-monthly payroll processing using Paylocity & ADP, including preparing reconciliation support for use by the accounting team to record the payroll in the GL
Import payroll entries into NetSuite for Accounting review
Administer all employee payroll, benefit and tax changes in Paylocity and partner with HR to ensure completeness and accuracy of all records
Administer compliance with multi-state payroll and tax laws
Set up payroll and tax accounts in additional states as necessary
Reconcile payroll taxes for each payroll period to ensure accuracy of the payroll tax returns – resolve any discrepancies by working with Paylocity & ADP
Monitor payroll tax law changes and inform HR and affected employees
Manage the payroll calculations and deductions for any one-off payments, employees on LOA, with a 401k loan, garnishment, or other special situation
Partner with HR to own the 401k process and relationship with John Hancock and complete the annual 401k and workers compensation audits
Manage the payroll inbox and respond to employee inquiries regarding payroll issues or concerns
Review and approval of employee expense reports to ensure adherence to company expense policy
Participate in the fluctuation analysis of changes in payroll-related expenses overall and by department
Work with HR to review and reconcile all employee benefits invoices on a monthly basis
Ownership of FSA accounts including invoicing and reconciling the related bank account and liability account
Work closely with HR to make necessary changes and updates in the HRIS as needed
Other duties as assigned
What We’ll Need
3-5 years minimum of related experience preparing and processing multi-state, semi-monthly payroll tasks
Payroll specialist background
FPC or CPP designation preferred
Strong interpersonal skills, strong written, oral mathematical computation, communication skills and strong aptitude for detail
Ability to multitask, work under pressure and meet deadlines
Strong excel skills including pivot tables, vlookups and embedded formulas
Proficient knowledge of Paylocity highly preferred
Experience with HRIS preferred
