WorldWide Electric is a national distributor of electric motors, motor controls, and gearing both in private labeled lines and manufacturer’s brand labels, some of which are well known throughout the world. We are seeking a highly motivated Import/Logistics Specialist for our Rochester NY location.
Summary:
Working closely with Sales, Finance, Supply Chain, and Operations, the Import & Logistics Specialist is responsible for all Import/Export duties for raw materials (RM), & packaging materials (PM) (import), and finished goods (FG) (import/export) for the WorldWide Electric family of brands. This position works closely with external parties (such as customs brokers, drayage companies, ocean carriers, transportation 3PLs, freight forwarders) to ensure efficient inbound and outbound operations that meet the business objectives and company expectations.
Essential Duties and Responsibilities:
- Oversee & monitor all import/export-related activities & status including but not limited to booking containers, vessel ETD & ETA dates, handling incoming shipping documents for import shipment, arranging online payment for Pier Pass Traffic Mitigation Fees, sending arrival notice/invoice from shipping company to accounts and finance for payment purpose, custom clearance with brokers, making appointments with trucking companies to ensure trucker picking before deadlines, the status of unloading containers and returning them to the terminal on time and etc.
- Responsible for establishing the most cost-effective, timely, and secure movement of goods in all modes of transport (ocean, rail, TL, LTL, small package, and air). This includes Investigating, planning, and implementing strategically effective and relevant transport methods, negotiating, managing, and reviewing service provider contracts, managing carriers, and international freight forwarders. relationships, and creating policies and procedures for continuous improvement.
- Guide/advise our in-house logistics team around the operational execution of importing and exporting goods to ensure peak service performance, cost-competitive agreements, and legal compliance with all countries of origin or destination.
- Manage relationships with Freight forwarders, customs brokers, and Importer of Record (IOR) service providers and communicate with import/export-related authorities.
- Oversight and review of trafficking, container tracking, freight forwarders, and import/export documentation management systems.
- Tariff, Duty, and Trade agreement oversight – Anticipate, research, and report on future changes in import/export laws and relevant local territory practices to make strategic adjustments to methods and procedures to optimize company benefit.
- Liaise with operational departments (warehouse traffic department, purchasing, product development, sourcing, materials management, inventory control, manufacturing, sales) to evaluate new opportunities, diagnose problems, improve processes, and implement procedures related to importing and exporting activities.
- Engage with external Subject Matter Experts as needed to interpret global regulations and conditions for import/export implications and provide direction in all phases of international trade compliance.
- Preparation of documents such as letters of credit, filing tariffs, bills of lading, license agreements, and other correspondence; coordinates other paperwork and documentation necessary to comply with tariffs and customs regulations.
- Follow up with custom brokers and trucking companies to ensure pickup and transfer of containers in a designated time frame so as to avoid demurrage and per diem occurrence.
- Share with colleague’s personal knowledge of relevant import/export law and procedures, tariffs, duties, and other related information.
- Oversight and accountability for Import Regulatory Compliance, Filings, and Entries, Customs compliance, Export & Trade Compliance including maintaining the company’s export product offering, Export controls, ECCN Classification, Sanctions, Anti-boycott, Restricted Party Screening, Forced Labor Screening of new & existing suppliers and the maintaining of the trade compliance manual and associated requirements. Keep abreast of new laws and regulations affecting compliance with import/export regulations and respond to proposed regulatory changes.
- Responsible for/assisting in claims investigations.
- Prepare timely information and reports as specified and requested by the supervisor/ management.
- Assist in function-related Capex projects, annual budgeting, and strategic planning.
Perform other duties as assigned and needed.
Skills and Qualifications:
- Bachelor’s degree in Business or Supply Chain Management or equivalent work-related experience preferred.
- 8+ years experience with broad import/export knowledge, including a deep understanding of U.S. customs regulations, HTS classifications, import duties, free trade zones, and tariff engineering.
- Thorough knowledge of shipping regulations and policies.
- Strong analytical and problem-solving skills.
- Must be proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) and ERP systems.
- Must be able to work in a fast-paced environment and meet all deadlines; follow through and handle multiple tasks/projects.
- U.S. Customs Broker license a plus.
- Willing to travel internationally if needed.
- Travel up to 10%.
