Responsibilities:
Marketing Support
The Assistant is responsible for supporting the Director of Sales &Marketing and Sales Counselor in the implementation of the Marketing Action Plan.
Administration of Move in and Move out
The assistant is responsible for facilitating the pre and post sales process at both Marian Village and Franciscan Village, ensuring that the move is handled timely and well-organized.
Prospective Lead Management
The assistant is responsible for assisting the Director and Sales Counselor with maintenance of lead records and professional contacts in the lead management software as needed.
Customer Satisfaction
The Administrative Assistant is responsible for assisting the Director of Sales & Marketing in ensuring the satisfaction of current and prospective residents.
Office Management
The Assistant is responsible for the routine clerical functions of the office.

The primary function of this internal community based direct sales positon is to partner with prospects and their families as they navigate the senior living experience providing them with the appropriate senior living solution to meet their needs. Perform diversified secretarial, clerical, and administrative duties in support of the Director of Sales and Marketing and the marketing function at Franciscan Village. The assistant coordinates the move in and move-out process for residential apartments and homes.
Responsibilities:
Marketing Support
The Assistant is responsible for supporting the Director of Sales &Marketing and Sales Counselor in the implementation of the Marketing Action Plan.
- Implements the responsibilities assigned in the Marketing Action Plan.
- Assists Director with coordinating all aspects of special events for the Marketing Department. Responsibilities include setting up entertainers, event set up, tracking RSVP and confirming attendance.
- Keeps ongoing inventory of all marketing materials to ensure that an adequate supply is on hand at all times.
- Orders marketing supplies as necessary.
- Order promotional giveaways including the welcome gifts for new residents.
- Manage sales & marketing files to ensure consistent availability of all forms and documents.
Administration of Move in and Move out
The assistant is responsible for facilitating the pre and post sales process at both Marian Village and Franciscan Village, ensuring that the move is handled timely and well-organized.
- Communicate effectively with prospective or existing resident /family to ensure that the move in/out process is understood. Maintain timely follow up to monitor each step for a successful and timely move.
- Establishes and processes prospect and resident files, paperwork, and move-in/out packets for the IL, AL and MC.
- Maintains a thorough working proficiency in the lead management software to perform all necessary activity including the following: documenting conversations, meetings and change in status related to move in and out, entering prospects information when needed, generate some reports as needed by the Department.
- Notifies necessary staff of move-in or move-out.
- Coordinate and oversee with appropriate departments to facilitate the orientation process for the new residents.
- Maintain an accurate inventory of resident storage lockers.
- Work with the Maintenance department communicating any areas of need prior to move in or after move out.
- Maintains unit inventory lists in IL, AL & MC.
Prospective Lead Management
The assistant is responsible for assisting the Director and Sales Counselor with maintenance of lead records and professional contacts in the lead management software as needed.
- Maintains a professional, inviting atmosphere in the marketing office.
- Builds and maintains an updated address/contact computer file with professional contacts and organizations that are potential referral sources.
- Enter new leads generated by events and schedules follow up call for sales staff.
Customer Satisfaction
The Administrative Assistant is responsible for assisting the Director of Sales & Marketing in ensuring the satisfaction of current and prospective residents.
- Demonstrates good customer service or guest relations skills.
- Communicates effectively on the telephone and in person.
- Processes contracts and move-in paperwork in a timely fashion.
- Reports problems to the Director of Sales & Marketing, assists in problem resolution as requested by the Director of Sales & Marketing.
Office Management
The Assistant is responsible for the routine clerical functions of the office.
- Operates all office equipment and maintains service contracts as appropriate.
- Receives, sorts, and distributes mail.
- Handles assigned correspondence
