Responsibilities:
The HR Coordinator / Onboarding Specialist oversees the direction and workflow of onboarding functions and responsibilities within the HR department. This position is responsible for ensuring onboarding practices comply with applicable state and federal laws and driving the Onboarding Team’s direction in daily processes and projects. We are looking for someone who is outgoing and high-energy, committed to continuous improvement, and demonstrated the ability to effectively onboard high-performing Employees.
This position will work out of our Philadelphia, PA location
Responsibilities:
Coordinate overall onboarding personnel, operations, and processes.
Assist with complete cycle recruiting as needed.
Works with HR Management to ensure onboarding processes comply with state and federal regulations.
Maintain a high standard of service and culture in all correspondence.
Oversee collection and entry of new hire paperwork into ADP.
Measure and report on hiring and turnover trends through generated system reports.
Review new hire files and discuss concerns with managers to ensure strong hiring practices.
Manage post-hire process for new hires to allow a smooth transition into the company.
Special projects as assigned.
Point of contact for onboarding for all new employees
Work closely with HR and hiring managers to ensure start dates are correct
E-Verify all new hires within the Region of coverage, an alert manager with any issues
Document collection
hourly hire rate, I9 filing, initiating drug testing and background checks, verifying all onboarding documents are signed, and finalizing the candidate into Winteam software.
creating employee files with all above-listed documents saved to file
State-required guard license compliance tracking & guard card review, and all new hire compliance paperwork processing.
State Compliance Portal: Register employees into the portal with documentation of their license (if the state requires)
Troubleshoot as needed when new candidates cannot complete their onboarding independently.
New hire assistance: login in as them and usher them through the process based on their technical skillset
Work with supervisors: inform them of each candidate’s onboarding status, and enlist their assistance if obstacles arrive with a candidate, such as an exp license or incomplete or illegible documents.
Add new material to file records and create new records as necessary
Assists with various administrative duties as assigned by the Human Resources Director or Senior Vice President
Qualifications:
Minimum high school diploma or equivalent. Some college education or business classes are desirable
1-2 years of relevant professional experience preferred
Excellent administrative and organizational skills
Outgoing, friendly and warm personality
Positive attitude with a great work ethic and ability to function well on a team
Interest in career development in the Human Resource field.
Prior E-Verify experience
Ability to prioritize multiple functions and tasks and manage work on time
Advanced verbal and written communication skills
Effective multitasking skills in a high-volume, fast-paced, team-oriented environment
ADP experience a plus
Winteam experience a plus
Proficient computer skills and experience using Microsoft Word, Excel
