The Senior Operations Coordinator is a key member of the Undergraduate Admissions
team. They match applicant documents to database records, create and update database queries, and provide support to the operational team in
data cleansing and QA. The position is responsible for processing physical mail, updating and mailing decision letters to applicants,
supervising several student employees, and answering questions via email, text, and phone from prospective students and applicants. They
manage the operational communications calendar, make website edits, load data files to the admissions database, and provide support in the
planning and organization of group visits to campus and our fly-in programs for prospective and admitted students.
Responsibilities:
Application Completion and Customer Service Support: Provide high quality customer service via
email, phone, and text to students, families, and school counselors. Match materials with student records in database and ensure files are
complete and ready for review. Estimated time: 25%
Communications Plan Management and Website Editing: Manage operational
communications plan for email and SMS messaging to students, families, and school counselors. Send mass emails and SMS messages to
prospective students and applicants in coordination with the Associate Director for Marketing and other senior admissions staff. Print and
mail decision letters and other print mailings as necessary. Make updates to website content. Estimated time: 20%
Supervise Student
Workers: Hire, train, and supervise 3-4 operational student workers each year. Student duties include opening and processing mail, providing
phone queue support, responding to emails from students and families, data entry, and preparing and shipping packages to support high school
visits and college fairs. Estimated time: 20%
Data Cleansing and Queries: Write and update database queries to support admissions
team. Conduct data cleansing and QA checks to ensure data is accurate and consistent. Audit database records for various application
materials. Estimated time: 15%
Data Loads and Transfers: Load data from various sources into admissions database, monitor and
troubleshoot errors. Ensure that Slate and Workday remain in concordance for matriculated students, processing withdrawals and defers and
making financial adjustments to accounts. Estimated time: 10%
Group Visits, Fly-In Program Support, and Event Staffing: Provide
operational and logistical support for group visits to campus, fly-in programs for prospective students, and other admissions events. Duties
may include booking travel, configuring forms in the admissions database, making signage, and staffing events. Estimated time: 10%
Education & Work Experience:
BA/BS required
3-5 years’ work experience
What you need to succeed:
Strong process management skills; organizational skills; problem solving, and decision making.
Must be organized, an
excellent communicator and collaborator, with the ability to work under pressure with multiple deadlines.
Ability to
build strong relationships with admissions staff and constituents across campus and be a team player.
Computer skills –
proficiency with Microsoft applications required; Slate Technolutions and Workday preferred.
