Administrative Assistant
We are looking for an energetic, organized, self-motivated, detail-oriented,and responsible Administrative Assistantwhose primary duties include, but are not limited to:
Responsibilities:
Providing administrative support to ensure efficient operation of the office.
Answering and directingphone calls, scheduling meetings, and supporting visitors.
Carrying out administrative duties such as maintainingfiling system, typing, copying, binding, scanning, etc.
Writing and distributing e-mails, correspondence memos, letters, faxes, and forms.
Completing operational requirements by scheduling and assigning administrative projects and expediting work results.
Exhibiting polite and professional communication via phone, e-mail, and mail.
Supporting the team by performing tasks related to organization and strong communication.
Maintaining supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
Contributing to team effort by accomplishing related results as needed.
Maintainingthe company s databases.
Preparing vendor invoices for internal approval.
Ordering, verifying, and issuing Certificates of Insurance.
Preparing and submitting all insurance claim forms.
Maintaining E-ZPass tags and accounts.
Reviewing parking summonses. Preparing and submitting hearing correspondences.
Providing administrative support to the Service and Construction Departments on an as-needed basis.
Other duties as assigned.

Proven admin or assistant experience.
Excellent time management skills and ability to multi-task, schedule,and prioritize work.
Attention to detail and problem-solving skills.
Excellent written and verbal communication skills.
At least three (3) years ofexperience in the field or in a related area.
High School diploma or equivalent; related undergraduate education preferred.
Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint, and Adobe Acrobat.
