Our regional shopping centers create a sense of place in the heart of the communities in which we do business: offering retail, lifestyle, dining and entertainment options.Position Overview:This position serves as a coordinator by providing administrative support and facilitating overall communication for the Northeast Region Leasing team. Performs standard and confidential secretarial duties requiring fundamental experience, skill and knowledge of organization policies and practices. Responsible for the creation of communication and/or presentation pieces, either through formal direction from management or individual initiative. Provides traditional administrative reports in the areas of word processing, travel arrangements, meeting schedules. Receives moderate supervision; maintains good communication and organizational skills; exhibits accuracy when working with details. Maintains proper liaison between department heads, managers, employees and retailers.Overall, we seek qualities that display our companys core values which are Humility, Attitude, Do the Right Thing, Together and Own it.Responsibilities:Assists in daily business activity of Leasing team, which includes general office work, answering phones, and word processing, preparing expense reports and sorting and distributing mail.Coordinates the efficient operation of the department by maintaining general and confidential files, ordering supplies, maintaining manuals and performing all other relevant dutiesCoordinates and completes necessary business reportsResearches, prepares and edits reports and presentationsSchedules and coordinates meetings and conference calls, appointments and travelPrepares lease proposals using Salesforce in a timely and accurate mannerObtains current marketing packages for all centers with leasing opportunities; maintains a stock of such materials and forwards packages to prospects and tenants as requestedObtains various lease exhibits in a timely manner as requested from a variety of sources both within and outside of organizationUpdates and distributes Leasing Activity ReportOther duties as assignedQualifications:High School Diploma or GED required2 years of experience in an administrative support roleProficiency in Salesforce, Microsoft Word and Excel as well as emailHighly organized and project orientedExcellent business writing and verbal communication skillsWe are committed to creating a diverse environment and are proud to be an equal opportunity employer.
