DESCRIPTION/JOB SUMMARY
The HR Assistant provides support for various Human Resources related functions including day-to day administrative functions, personnel record retention, department initiatives, and compliance. This role provides assistance with various programs and supports the Human Resources department through completion of regularly assigned duties and special projects.
RESPONSIBILITIES/DUTIES
* Provide administrative support to the Human Resources department with day-to-day operations including maintenance of confidential files, fielding HR related questions, scheduling appointments, arranging meetings, conference room reservations, and copying files
* Sort and distribute HR mail both onsite and electronically
* Assist with the hiring and onboarding process including but not limited to employment verifications, background checks, preparation and administration of all related paperwork, packets, new employee folders, related documentation, scheduling of new hire orientation, and I-9 processing
* Maintain paper personnel files, follow up on missing paperwork, create new employee folders, and manage record retention and all applicable paperwork received according to laws and best practices
* Assist with departmental communication, correspondence, ad hoc reporting, and projects
* Assist with creating, maintaining, and updating office holiday calendars with approved firm closures
* Scan, print, and file documents both in hard copy and electronically
* Respond to general employee inquiries and escalate to appropriate parties as necessary
* Provide HR phone coverage as needed
* Ensure all confidential information is secured at the end of the day
* Assist with presentations, preparing materials and presentations as needed
* Perform other duties, projects, and responsibilities as assigned
REQUIRED SKILLS
* Proficiency with MS Office including Word, Excel and PowerPoint required
* Strong oral, written and verbal communication skills; excellent follow up skills
* Excellent organizational, interpersonal and problem solving skills
* Ability to manage multiple projects, work independently, prioritize workloads, and meet deadlines
* Ability to use tact and discretion and maintain utmost confidentiality of personnel information
* Ability to deliver exceptional customer service at all times; exercise courtesy and diplomacy with Firm personnel and representatives outside of the company
* Highly dependable and demonstrated consistent, effective administrative and clerical performance for the accomplishment of responsibilities and defined objectives.
* Strong administrative and data management skills
PREFERRED EXPERIENCE
* One plus years previous administrative experience
* Previous relevant experience working in Human Resources
REQUIRED EDUCATION
* High School diploma or GED equivalent required
PREFERRED EDUCATION
* Bachelor’s degree or equivalent experience desired
