We are looking for an energic professional to join our dynamic HR team. The position is primarily responsible for managing day-to-day human resources activities for our home office staff and will also support other functions of the human resources department, as necessary. This is a hybrid position that reports to the Director of Human Resources.
Responsibilities:
Serve as the initial point of contact for the Human Resources department.
Manage and maintain the accuracy of documentation and personnel records. Gather documentation for audits and other related requests.
Manage files for the department, including personnel files and HR share point site.
Assist with inventory and update all human resource forms. Ensure that they remain up to date and easily accessible.
Conduct quarterly and annual audits to ensure all employees’ information is accurate in all HR systems.
Maintain and update monthly reports including domestic short-term, occasional part-time, host country nationals tracking report, hours report, and expatriates and third country nationals turnover report.
Assist in the visa process for headquarters employees; assist the General Counsel and visa processing vendor regarding visa matters. This includes tracking, maintaining files, submitting documents and following up.
Track department expenditures for budgeting purposes and communicate exceptions.
Prepare, process, and maintain employment letters and agreements for domestic or overseas employees.
Cross-train within the department to provide support around onboarding activities, recruitment, benefits enrollment, terminations, etc.
Complete employment verification and unemployment documents.
Responsible for the accurate data input and maintenance of data in the Human Resource Management System (HRMS) system. Collect and process personnel actions including payroll functions.
Proactively communicate with the payroll department to ensure the integrity of the payroll data and make updates, as necessary.
Review bimonthly AL/SL accrual report and inform DHR of any discrepancies.
Conduct exit checklist meetings and schedule exit interviews via Skill Survey.
Maintain required compliance posters within the organization.
Prepare HR presentation for the Quarterly Staff Meetings.
Manage the Skills Funds and tuition reimbursement process.
Oversee the New Hire Ambassador Program in conjunction with Knowledge Management.
Maintain service award program to include ordering, invoice payment and shipping and receiving of awards to employees.
Collaborate with Office Operations and the President’s Office on corporate events such as company picnics, holiday parties, retirement and service award receptions.
Ability to host or attend in person meetings when required.

Qualifications:

Bachelor’s degree in business administration, human resources management, or related field preferred.
Administrative experience in human resources or related field will be considered in lieu of degree.
Preferred experience with HRMS systems such as UKG.
Ability to maintain confidentiality required.
Demonstrated excellence in oral, written and reading comprehension abilities.
Proven organizational skills and ability to manage multiple tasks with a high degree of accuracy; ability to work independently and as a team member, take initiative, meet deadlines, and be flexible.
Must be available during core business hours and/or operating hours for international time differences; flexibility to work more hours when needed.
Flexibility to work in office based on work demands.
