Recruiting Administrative Assistant
This position has primary responsibility for providing a wide range of complex and confidential administrative support to the Talent Acquisition Team. This position coordinates various activities and ensures that the team’s day-to-day operation is efficient and effective. In addition, the selected individual must demonstrate initiative, take ownership of responsibilities, and complete projects with positive results. The chosen candidate will handle a wide range of administrative and project support related tasks and must be able to work independently with little or no supervision.
Key Responsibilities:
Anticipate the needs of the Talent Acquisition team, understanding all recruiting processes and requirements
Competently and professionally handle information that is sensitive, complex and confidential in nature
Assist with preparation of briefing materials for internal and external meetings as needed
Coordinate team participation and training for hiring events and open houses
Maintain a tracker of hiring events to include all pertinent details
Schedule and coordinate travel for team leadership
Manage expense reporting for team leadership
Ensure all technical issues are addressed by submitting help desk tickets and following up to ensure timely resolution of issues
Maintain tracker of Job Board information (who has access, POC’s, etc.) and coordinate training for job board use
Prepare and distribute Job Board Usage Reports and other reports as assigned
Post and update job openings on sites where this information must be maintained manually
Assist with flyers and other promotional items as needed
Remain knowledgeable of corporate policies, systems, organizational history, goals, philosophies and mission and participate in training as needed
Other duties as assigned
Qualifications:
BS 2-4 Years, MS 0-2 or HS 8-10
Requires at least 10 years of experience as an Administrative Assistant or a related role
Familiarity with standard hiring practices
Ability to work extra hours from time to time or when needed.
Ability to multitask, prioritize and handle projects independently.
Ability to handle sensitive and confidential information appropriately.
Proficient with Microsoft Office (Word, Excel, and Outlook) and competent in using common desktop applications, internal systems and SharePoint.
Proven track record in managing confidential information with discretion.
Demonstrated strong analytic skills with ability to quickly interpret and organize data and information.
Exhibits a total commitment to delivering high quality products and services via a highly pro-active approach.
Well organized, flexible and enjoys the administrative challenges of supporting the team in a fast-paced environment.
Proven experience working effectively with employees at all levels
Ability to problem-solve difficult issues
