This position is responsible for supporting the Human Resources Benefits and Talent Acquisition functions within the corporate office of B. F. Saul Company, and its affiliates. These duties include, but are not limited to, benefits compliance and auditing, screening of and scheduling candidate interviews, onboarding, compliance, and general administration.
Essential Functions
Benefits
Provides administrative support on all aspects of employee benefits, including, but not limited to: health insurance, dental insurance, vision insurance, short-term disability insurance (STD), long term disability insurance (LTD), life insurance, flexible spending account plans, tax-deferred retirement plan, COBRA, etc.
Serve as the first point of contact for all employee benefits. Respond to employee questions dealing with company benefits and leave. Work with vendors and broker to obtain information as needed.
Assist in the planning and management of the annual benefits open enrollment process for all employees.
Work with the HRIS manager to ensure benefit offerings and costs are accurate in HRIS and the benefits administration platform, further ensuring elections are properly coded.
Complete monthly benefits billing process in conjunction with the various accounting departments.
Complete audits as needed to maintain accurate deductions and enrollments in the benefits administration platform and with vendors.
Maintain up-to-date benefits information and forms on shared team drive, B.F. Saul Company intranet and the benefits administration platform.
Work to resolve any issues that may arise as it pertains to benefit elections.
Assist with COBRA administration. Work with the benefits administration platform to ensure additions and removals of employees for continuation coverage is timely and accurate.
Provide backup reporting to appropriate accounting areas on monthly COBRA payments.
Manage FSA administration by ensuring accurate and timely elections and communication during open enrollment. Oversee the annual payroll cleanup of FSA deductions, ensuring current year deduction codes are stopped appropriately and annual elections for the upcoming year are correct. Complete annual FSA Discrimination testing.
Act as the point of contact and be responsible for the benefits administration platform; ensuring that the website is maintained, updated and relevant.
Conduct New Employee Benefits Orientation and Open Enrollment.
Talent Acquisition
Handle full life cycle recruitment by sourcing talent creatively using a variety of available means, including leveraging employee referrals, LinkedIn, other job boards as identified and company Application Tracking System.
Effectively identify, screen, assess, interview, and share talent with hiring managers for open roles, as well as building a strong pipeline of talent for business groups being supported.
Develop, update and be active on B. F. Saul Company’s branding and marketing efforts using various platforms (e.g., Careers web page, LinkedIn, Glassdoor).
Create job requisitions and navigate through Lever (Applicant Tracking System).
Utilize and summarize Predictive Index (PI) reports for hiring managers.
Source other avenues finding candidate, complying with DE&I Initiatives.
Prepare offer letters, send to candidates, and follow up on receipt.
Manage the completion of the background checks.
Compliance
Assist with the management of ACA compliance function.
Miscellaneous
Proactively manage the calendar of the AVP of TA.
Update/maintain relevant forms and policies on shared team drive and internal company portals.
Compose memos, letters, emails, and other departmental communications as requested.
Selection Criteria
College Degree in HR or management related field.
Interest, knowledge, or work experience in Human Resources field preferred.
2-5 years of experience in an administrative support role.
Proficiency with Microsoft Office.
Experience with relevant Applicant Tracking Systems (ATS).
Ability to maintain high degree of confidentiality.
Strong attention to detail and demonstrated excellence working in a fast-paced environment.
Ability to multi-task and juggle many projects at once.
Strong professional interpersonal skills and diplomacy.
Ability to work independently with members of a team.
Ability to take initiative and display dependability and consistency.
Excellent verbal and written communication skills required.
