As a Specialist – HR Operations focusing on Personnel files and Record Retention, you will partner closely with members of legal, senior leadership, and our employees to deliver a seamless experience through the Employee Experience Guiding Principles, including the adoption and promotion of employee self-help tools, automation, and constant review of service levels.
Utilize the Service Now case management system and Workday to efficiently manage retrieval of personnel files for employee requests
Utilize the Service Now case management system and Workday to efficiently manage Subpoena file requests from our legal partners
The retrieval and refiling of boxes from a third-party vendor as well as the shredding of documentation per our records retention schedule
The processing and auditing of legal name changes along with weekly reporting
Partner with other shared services teams as well as HR business units within our multi-channel and multi-tiered approach
On Site visits to the Phoenix office record room is required on a part-time basis
The Specialist provides service to employees by resolving problems, offering solutions, taking corrective actions, and coordinating with other departments as needed
Promoting a standard of respectful, and professional interactions, while displaying empathy and a remarkable employee experience
The Specialist focuses on optimization of current processes and activities, to improve / enhance service quality and operational efficiency

Resolving problems, answering questions, providing/clarifying information, and coordinating with partners as needed
Collaborating with Tier 1 Contact Center to assist with trend identification and education, as needed
Performing other duties and special projects as assigned
What you have
Bachelor’s Degree in Human Resources and/or equivalent HR experience
1 – 3 years of experience within an HR Operations capacity
Excellent digital literacy, including proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint). Experience analyzing Excel reports to identify trends and sort/track data
Excellent communication skills, with ability to connect with employees, and external providers
High attention to detail with exceptional time-management skills and proven ability to manage initiatives simultaneously
Proactively adapting procedures to meet changing policies and government / state guidelines
Actively collaborating with HR Centers of Expertise (COEs) and HR program owners to shape the employee experience
Extensive knowledge of Schwab Workday programs and experience with the Service Now platform a plus
