As an Executive Assistant on the HR team, you will support the Chief Human Resource Officer and aid in the vision of making the HR department the model for high quality, responsive, customer focused service.
This position is responsible for performing high profile and complex administrative work. Understanding the philosophy and priorities of the CHRO and anticipating needs to help leadership meet and exceed its mission.

HIRING HOURLY RANGE: $23.18 – $26.11

Duties and Responsibilities
Besides the performance of skilled clerical and administrative tasks requiring a thorough knowledge of office practices, duties include tactfully handling inquiries from the public, county personnel, and elected officials; performing basic research on a wide variety of topics; and providing liaison activities with all other departments and agencies within the county. The successful candidate will demonstrate absolute professionalism in all aspects of customer and staff relationships, have proven discretion, and the ability to maintain confidentiality. The individual must have the ability to schedule a variety of meetings and coordinate meeting logistics; a demonstrated ability to maintain complex clerical records and to prepare reports from such records; a thorough knowledge of business English; the ability to prepare effective correspondence on routine matters; and to perform routine office management details without referral to a supervisor.
ESSENTIAL FUNCTIONS:
* Provides administrative assistance to the Chief Human Resource Officer (CHRO) including scheduling and support correspondence, meeting planning, and various projects as requested.
* Learns all aspects of the Human Resource Department and is prepared to accept assignments in various areas as needed.
* Conducts research, compiles data, and prepares papers for consideration and presentation by the CHRO. Prepare correspondences for the CHRO.
* Organizes meetings including scheduling, reserving, and preparing rooms, preparing agendas, providing audio and video (AV) assistance, and coordinating catering for luncheons as necessary.
* Attends meetings as requested, and compiles, transcribes, and distributes minutes of the meeting to the appropriate individuals.
* Maintains comprehensive and accurate records utilizing Microsoft Office Suite, Teams, and other digital solutions as appropriate. Accesses data as requested through a variety of digital systems.
* Manages and facilitates flow of essential information among key stakeholders to facilitate communication and generate momentum among project stakeholders.
* Keep the CHRO advised of time-sensitive and priority issues, ensuring appropriate follow-up.
* May be designated to report to work during hazardous weather or emergency conditions.
* Performs other duties or assumes other responsibilities as apparent or assigned.
Minimum Qualifications
Minimum Qualifications:
This position requires a high school diploma (or GED) supplemented with two (2) or more years of experience as an Executive Assistant, Administrative Assistant, Administrative Services Coordinator or Office Manager. A Bachelor’s Degree in Business, Human Resources, or a related field preferred.
Preferred Additional Qualifications:
* Certified Administrative Professional (CAP) certification preferred.
* Successful experience in Human Resources preferred.
* Knowledge of the principles and practices of Human Resources preferred.
Knowledge, Skills and Abilities
The individual must be highly proficient at Microsoft Office, including Outlook, Word, Excel, MS Teams, OneDrive, and PowerPoint, and be capable of scheduling and coordinating virtual meetings using a variety of platforms. The individual must also have some experience with HRIS database systems (One Solution, OnBase, and NEOGOV preferred) and the ability to manage the day-to-day tasks of the position with little supervision and direction. Familiarity with accounting practices is desirable.
A successful candidate must be able to aid in the preparation of annual budget documents, correspondence, reports for County Council, and information regarding personnel matters, forms, spreadsheets, and, if necessary, data entry. The ability to grasp and understand the philosophy and priorities of the CHRO and anticipate needs is critical to the department’s mission. It is also important that the applicant have the ability to communicate complex information, both verbally and in writing, to staff at all levels of the organization.
