JOB SUMMARY
Provides specialized administrative assistance to the department director and professional staff in support of departmental operations and administrative functions. Tasks include administrative and clerical work involving typing, statistical report preparation, and assisting others with inquiries, complaints, and problem resolution.
ESSENTIAL JOB FUNCTIONS
Formats and types letters, reports, charts, and other documents requiring special formatting or containing complex terminology, such as contracts, legal documents, and medical reports.
Enters and retrieves technical information from a computer in order to perform research, update records, process transactions, or respond to requests for information
Sets up and maintains alphabetic and numeric files so that documents can be filed and retrieved in an orderly fashion.
Processes all incoming correspondence and mail; disseminates to appropriate staff and personnel; answers phone, takes messages, handles complaints; schedules appointments; sends and receives all faxes; greets visitors and directs to appropriate office or personnel.
Coordinates department schedules, activities, and meetings.
Greets guests; refers to appropriate personnel or office; completes registration for on-going programs; makes payment transactions on computer.
Incumbents in departments in which money exchanges; daily report and deposit preparation, in addition to tracking petty cash and reports.
Performs department purchasing procedure, including requisitions and field purchase orders, utilizing proper budget accounts; responsible for processing invoices on department purchases and receiving and documentation of all purchases.
Prepares payroll information for department employees; ensures all time cards and slips are signed and dated by employee and supervisor. May respond to employee requests for personnel related questions. May complete workman’s compensation forms and maintain a daily record of claims.
Maintains education/certification requirements for records, incentive pay; records, reimbursement, expense reports, etc.
May dispatch calls on radio to supervisors and employees of department.
Maintains records of information related to department operations such as; legal notices, distribution of information, use of equipment, etc.
Prepares monthly reports related to the departments activities such as; legal advertisements for newspaper, work orders for repairs,
Performs other related duties as assigned.
