JOB SUMMARY:
Under direction of the Executive Secretary of Development Services, serve as primary source for administrative support to the Planning Division; provide administrative assistance to the Development &
Engineering and Traffic & Transportation Divisions as required. Perform difficult clerical work requiring discretion and specialized knowledge of departmental operations. Interact effectively with City employees and the public. Perform other related work as required.

ESSENTIAL JOB FUNCTIONS:
Serve as primary source for administrative support to the Planning Division; provide administrative assistance to the Development & Engineering and Traffic & Transportation Divisions as required. Perform secretarial and clerical functions requiring considerable discretion and specialized knowledge of departmental operations. Attend after-hours meetings of the Board of Adjustment and the Building and Standards Commission; take and transcribe minutes. In the absence of the Executive Secretary, attend and take minutes for City Plan Commission (CPC) meetings. Prepare and mail notices for CPC, Board of Adjustment and Building and Standards Commission hearings. Post agendas in accordance with State Law.
Prepare correspondence and completed reports of activities, utilizing computer and Microsoft Office programs and other office machines such as printer, scanner, calculator, , binding machine, paper cutter, fax machine, copy machine, and dictation equipment. Assist the public in person or on telephones with questions requiring knowledge of policies and procedures. Type and file forms, charts, statements, typed or written letters, and/or memos. Attend staff meetings. Maintain all Board and Commission files through organized filing methods including paper documents and use scanner to establish and maintain digital files.
Research files to assist staff in answering zoning-related inquiries and work independently in the absence of specific instructions or supervision. Read reports, correspondence, documents, plats, site plans, landscape plans and other graphic documents. Communicate courteously and effectively in the English language with other employees, citizens, developers, elected and appointed officials. Walk, carry drag, hold, lift, pull, and/or push up to ten pounds of paper records. Efficiently and safely operate, care for, and maintain appearance of assigned equipment. Provide back-up assistance for the front desk receptionist area.
Maintain confidentiality. Work in a team environment and provide assistance to other administrative professionals as necessary.

OTHER JOB FUNCTIONS:
May accept and write receipts for money. Must be a Notary Public or have the ability to obtain certification within 60 days of attaining position.

REQUIRED EDUCATION, DEGREES, CERTIFICATES AND/OR LICENSES:
High school diploma required. Secretarial school graduate and/or two years college preferred. Texas Driver’s License, Class C, required.

EXPERIENCE, TRAINING, KNOWLEDGE AND SKILLS:
Four years of experience required in general secretarial work, or extensive experience in related field required. Must have abilities to: use tact and diplomacy, plan and schedule, coordinate appointments, meet deadlines, be resourceful, and move work efficiently. Good command of the written word and sentence structure required. Must be detail-oriented and thorough. Proficiency required in Microsoft Office software computer applications.
