General Description
The purpose of this job within the organization is to provide confidential administrative assistance to the Town Manager. This job works independently, under limited supervision, reporting major activities through periodic meetings.
Duties and Responsibilities
The functions listed below are those that represent the majority of the time spent working in this job. Management may assign additional functions related to the type of work of the job, as necessary.
Essential Functions:
Creates and publishes Council Agenda Packets for all Council meetings; coordinates and reviews agenda material; finalizes agenda; and distributes electronic agenda packets to appropriate parties.
Serves in the absence of the Town Clerk. Attends Town Council meetings and takes meeting minutes; prepares and publishes minutes; affixes the seal to official documents; certifies actions of Town Council.
Maintains records on Town’s boards, committees, and commissions. Document meeting minutes for the Architectural Review Board, Board of Zoning Appeals, and Planning Commission.
Prepares and drafts proclamations, commendations, and resolutions for Town Council action. Researches, complies, and or monitors administrative, statistical, or legal data, code and Town files, and Council meeting minutes.
Responds to citizen requests and inquiries. Provides relevant information.
Performs related administrative duties, such as notarizing signatures, scheduling conference room reservations, travel, scheduling meetings, ordering supplies, etc.
Prepares legal notices for newspapers and posts legal notices of Town Ordinances, public hearings, and other official actions of the governing body. Ensures that changes in ordinances or re-codifications. are properly recorded, distributed, and filed.
Receive and respond to Freedom of Information Act (FOIA) requests from the public and send responses in compliance with FOIA.
