Job Summary
The Customer Service Representative is responsible for handling customer inquiries in an efficient and professional manner. Our Customer Support Team works closely with our Sales Team, Inventory, Warehouse and Shipping Team, and vendors to facilitate the prompt delivery of products to our customers. The ideal candidate has medium/heavy duty diesel parts look up experience and is a highly organized, dedicated, caring problem solver that works best in a team environment that shows an ability to look up and cross reference parts for quoting and selling purposes.
CSR Responsibilities:
· Follows company’s customer service policies, procedures, and best practices.
· Ensures they comply with company guidelines particularly related to quality of service.
· Collects data and reports on customer complaints and inquiries via the Customer Experience Portal.
· Keys orders and quotes per customer request
· Answers phone calls, web orders, and group shared emails with customer requests
· Identifies opportunities to update or improve customer service procedures and makes recommendations to the Customer Service Manager
· Performs other related duties as assigned.
· Actively participates in group chats and communicates unavailable time
Key Departmental Responsibilities
· Answers questions via phone and email on product pricing and availability.
· Issues Return Goods Authorizations (RGAs) for core and new products.
· Processes orders.
· Researches and provides technical documents and test specifications to customers.
· Cross references and looks up parts numbers to find replacement part availability.
· Sources, expedites, and tracks shipments.
· Regularly communicates product trends to the Procurement and Sales Teams.
· Operates in conformance with the requirements of the Diesel Forward quality management system.
· Assists other employees both in and out of the department.
· Performs other related duties and assignments as required.
· Provides feedback on system needs/changes.
Skills & Qualifications
Excellent verbal and written communication skills required. Experience in customer service/sales is preferred. Knowledge of automotive or medium/heavy duty parts preferred. Proficient in data entry, computer skills (Microsoft Office products), organization and multi-tasking. Experience with DST or Microsoft Navision a plus, but not required.
