Position Summary
The Academic Counselor plays a pivotal role in providing student-centered academic counseling throughout the student journey. This role focuses on delivering effective and high-quality services to students in various areas, including course scheduling, timely responses to information requests, interventions for at-risk students, and referrals to university resources. This position involves proactively guiding students on university policies and procedures, assisting them in setting goals and devising plans for program progression, and collaborating with Admissions, Financial Aid, Faculty, Program Directors, and University Support Services on behalf of students. The Academic Counselor’s primary mission is to provide comprehensive support services and advocate for the assigned student body, aiming to enhance the student experience and improve retention until graduation.
Key Job Responsibilities
Provide personalized, proactive advising to all assigned students.
Foster student persistence and success through orientation, familiarization with the learning platform, effective class scheduling, and monitoring of degree progress toward graduation.
Develop course schedules for new, continuing, transfer, and reentry students in alignment with curriculum sequencing, offering advisement focused on efficient academic progress.
Maintain direct communication with assigned students through phone, text, and email, ensuring timely responses to student inquiries.
Monitor student attendance, grades, academic progress, and financial responsibilities, developing success plans for at-risk students or those facing challenges in collaboration with faculty, academic leadership, and university support services.
Demonstrate proficiency in understanding and communicating university policies found in the University Catalog, Student Handbook, and Programmatic Handbooks as they relate to assigned students.
Facilitate the acclimation of new students to the academic environment, reviewing the enrollment process, providing an overview of the online or campus classroom, and explaining graduation progression options.
Assist students reentering the university after withdrawal or dismissal, guiding them through the reinstatement process, monitoring their progress to graduation, offering proactive advising, and implementing interventions when necessary.
Efficiently utilize the Student Information System, Learning Management System, and relevant databases to perform assigned duties.
Maintain compliance with the management of student information by adhering to FERPA requirements and Record Management Policies.
Participate in and successfully complete all academic counselor training and development activities, including mentoring new Academic Counselors and participating in onboarding when requested.
Perform other duties as assigned by the supervisor.
Education
Job Requirements:
Bachelor’s degree in a related field is required; a Master’s degree preferred
Experience
3-5 years of Academic advising or academic counseling experience
Skills
Customer Service experience preferred

Continual learning and staying updated on financial aid program offerings, policies, and procedures is essential. Adherence to regulatory requirements and internal policies is crucial. The position collaborates extensively with the financial aid staff and the admissions department, and external contacts include prospective students, applicants, their families, and government agencies.
