The Role
City & State Florida is looking for an entrepreneurial Sales & Events Coordinator to support our sales and events team as we expand into Florida. In this role, you will collaborate across City & State to effectively direct sales activity. Specifically, you will fulfill advertising contracts, obtain creative materials, generate support materials for the sales team, and coordinate the scheduling, launch and reporting of advertising campaigns. This role is based in Florida and can accommodate remote work on a weekly basis with occasional travel to support events across Florida.
Responsibilities:
Work with the sales team to collect ads, logos, bios, headshots of advertisers after sales are made.
Collaborate with the design team to create and upload ads into relevant systems (Ad Book).
Support sponsorship execution by adding logos to website, Airtable, and checking materials consistency.
Assist with prospecting leads, identifying new potential business, and actively track the sales pipeline to support the sales team in meeting monthly revenue targets.
Manage the event webpage process including creating event ticket registration, webpages on Eventbrite and updating those pages with event details (agendas, sponsor logos and speaker photos).
Support additional event logistics, including making logistical notes on venue visits, ordering event supplies, setting up award nomination forms, coordinating seating charts and exhibit maps, updating contact information for attendee lists and sending weekly RSVP reports.
Coordinate relevant event materials including creating name badges, speaker placards, reserved seating signs, exhibitor game cards, registration materials, and outsourced events posters and program journals when necessary
Facilitate events on-site including set-up, registration, award presentation, and assisting attendees with any questions or concerns.
Manage event communication process including responding to inquiries from attendees and colleagues, posting event photos on Flickr and the City & State website.
Qualifications:
1-2 years of sales or account management experience. Background with Events, strategic partnerships, sponsorships, conferences, advertising, or promotions is a plus.
Proven record of defining and executing key analyses of event performance
Strong communication skills to collaborate with both colleagues and clients effectively
Able to identify potential new exhibitor sales, sponsor leads community, and keep accurate sales records
Familiarity with Salesforce is a plus
