The primary responsibilities of the Staff Scheduler is to create and maintain staff schedules, track attendance, monitor lateness and absences, minimize overtime, and provide reports to management related to productive and non-productive hours. The Staff Scheduler is expected to work with the Human Resources department to maintain current contact information on all staff and ensure all employees are complying with employment procedures related to attendance.
Job Responsibilities
Create and post monthly staff schedules through our scheduling platform – OnShift
Track and post changes and approve trades in the absence of the DON or as delegated by DON
Post and fill open shifts as they occur
Maintain timely records o call-offs, tardys and early arrivals and coordinate daily with HR to ensure attendance policies are administered promptly and fairly
Alert HR to possible FMLA or other Leave of Absence issues
Monitor daily PPD
Monitor and minimize staff overtime
Notify HR of terminations or no-call, no shows as these occur to facilitate timely replacement
Maintain accurate phone and/or email contact lists of current staff, locate employees willing to pick up vacant shifts created by call offs
Coordinate with HR to schedule job candidate orientation
Contact and schedule agency staff as last resort to meet PPD
Assist new employees in acclimating to facility policies, procedures and routines
Provide accurate and timely reports to DON, Facility Administrator and management on issues relating to staffing, vacancies and agency use, or other topics as assigned
Notify HR of all status changes, e.g., part-time to full-time, etc.
Monitor agency use to ensure department expenditures for agency are at or below budgeted level
Send daily documentation of absenteeism to payroll
Provide accurate daily schedules for each shift
Keep ADON and/or DON informed of personnel needs and scheduling difficulties
Keep accurate records of all PTO and change requests
Assign and maintain pool personnel timekeeping system
Other duties as assigned by the Director of Nursing
Qualifications
Graduate of an accredited high school or GED preferred
Previous staffing experience is required
Experience in a long-term care setting required
Prior experience with OnShift is highly preferred
Ability to work independently or part of a group
Effectively communicate with others
