ESSENTIAL DUTIES AND RESPONSIBILTIES include but is not limited to the following:
Employee Relations / Employment Law
Act as a resource for management regarding issues of employment law.
Consult with managers regarding the impact of employment status changes and legal issues (particularly about performance evaluations, sexual harassment, workplace injuries, disability, discrimination, disciplinary action, and termination).
Consult with legal counsel to ensure that employment decisions follow federal and state law.
Represent the organization at personnel related hearings and investigations, if necessary.
Stay abreast of current trends in workplace employment law.
Job Descriptions/Performance Evaluations
Work with managers to ensure that all employees have job descriptions on file and keep a master file of all job descriptions. (PayScale)
Provide guidance and training to managers regarding performance evaluations and job descriptions.
Facilitate annual review cycle and recommend process enhancements. (UKG)
Follow up with Managers regarding past due evaluations.
Employee Engagement & Development
Provide onsite support for all corporate engagement initiatives to ensure consistency between locations.
Provide training to all employee levels regarding human resources policies and procedures.
Work with Corporate Trainer and managers to identify and suggest training programs to improve job related skills of employees.
Policies & Procedures
Maintain effective and consistent HR practices across the organization.
Maintains company bulletin boards, including required postings.
Compensation and Leave Administration
Partner with VP of HR in the develop of a compensation philosophy and standards using our new platform with PayScale.
Consult with managers regarding wage changes to ensure consistency within our current plan and any new plan that is implemented.
Process all FMLA paperwork in accordance with the federal and state laws in which it applies; Communicate FMLA procedures with employees and managers when needed.
Review and reply to all unemployment claims; coordinate with applicable managers to provide the unemployment office with the necessary documentation; provide VP of HR a quarterly report documenting unemployment claim results.
Workers Compensation/OSHA/Safety
Coordinate with the safety committee and managers in developing effective safety procedures, work practices, and training to reduce and/or eliminate workplace injuries/illnesses.
Update and maintain required safety program(s) to ensure compliance with state laws.
Oversee the administration of workers’ compensation, OSHA and safety programs.
Coordinate the investigation of on-the-job accidents/injuries/illnesses with employees, managers/supervisors, and the safety committee.
Process the necessary paperwork in relation to the on-the-job incidences including workers’ compensation and OSHA forms.
Prepare, post and report OSHA 300 Log in accordance to OSHA regulations.
Communicate with the medical community, insurance carrier and employee during this process to provide the employee with the best possible care and reduce unnecessary lost work time.
Coordinate with managers in developing a return-to-work plan for injured workers.
Provide immediate communication to the VP of HR and Director of Operations regarding any lost work time claims. Provide monthly status report listing all report only and recordable claims.
HR, Payroll, and Time Records
Provide the Payroll Administrator with necessary payroll documentation for employees, including leave management tracking.
Issue Badge ID’s and provide employees with necessary time clock training.
Assist employees in the understanding of PTO accrual benefits and answer questions related to these benefits.
Maintain all personnel files and personnel documentation, maintained in UKG.
Maintain HR/payroll supplies such as Employee Handbook, insurance forms, benefit material, etc.
Orientation
Support or facilitate new hire orientation in partnership with Corporate Trainer.
Work with each department to integrate effective new hire orientations.

Processing HR documentation in compliance with state and federal regulations.
Maintaining HR documentation that is detailed, consistent, accurate and up to date.
Maintaining discretion and confidentiality of all information received.
Ensuring that HR files, folders, binders, and databases are up-to-date and accurate.
Treating the customer (i.e., the employee) as a top priority.
Serving as a mentor and support for the entire HR team.
Be flexible with schedule including remote and onsite availability.
QUALIFICATIONS

EDUCATION and/or EXPERIENCE
Preferably hold a bachelor’s degree in HR or related field with 5+ years generalist experience, including experience with California employment law.
Able to effectively use spreadsheet, word-processing and database software – UKG and PayScale highly desirable.
Excellent communication and the ability to interact effectively with all levels of the organization; Able to present him/herself in a professional and courteous manner, serving the needs of all internal and external customers effectively.
Able to work independently while ensuring that his/her manager is kept informed of the status of HR related issues.
Good judgment in working with people, maintaining an appropriate balance of representing the company and its policies but also being an advocate for the employees and their well being.
