Coordinates interview schedules.
Assist with the selection and processing of applicants on the Housing Choice Voucher and Public Housing Site Based waiting lists.
Ensure that selected applicants’ eligibility is in compliance with HUD rules and Regulations and the JCHA’s Admissions Criteria.
Confirm that applicants meet qualifying preferences, pass background checks, and do not exceed the Income Limits established by the Department of Housing and Urban Development (HUD).
Performs additional screenings and follow-up, as necessary.
Provides continuity to eligibility assessment by communicating applicant status through general written correspondence and/or electronic communication, pursuant to existing policies and procedures.
Responds to phone inquiries, directs callers to appropriate parties and records messages, effectively.
Addressing daily incoming emails and providing follow-up, as necessary.
Maintain and update applicant files in Elite the computerized waiting list to accurately reflect activity.
Assisting new and existing applicants in registering for the Applicant Portal.
Updates Applicant Portal by approving or denying changes submitted by applicants daily.
Assisting and maintaining LIPH transfer lists (i.e., Administrative, Medical, etc.)
Prepare a variety of departmental correspondence, forms, memoranda, lists, reports; provides general clerical support in the department, as needed.
Verifying and processing invoices for designated background check company for supervisor signature.
Orders and maintains all necessary office materials and supplies, as directed.
Minimum Requirements:
High School Diploma or its equivalency (GED). Formal secretarial or computer training/credits from an accredited institution preferred, supplemented by three (3) years of administrative, clerical and/or computer support in public housing or not-for-profit environment.
Knowledge, Skills & Ability:
Demonstrated experience working in a fast-paced, high-volume environment under strict deadlines.
Proficiency in Microsoft Windows, Word, Excel, PowerPoint, and Access software applications, as well as internet applications and effective research capabilities
Demonstrated ability to work independently, with little to no supervision.
Ability to communicate clearly, effectively and in a courteous and professional manner with JCHA staff, the public and a variety of third parties.
Demonstrated ability to manage diverse projects and responsibilities in a confidential and professional manner, as well as to prioritize and follow-through on assignments.
Thorough knowledge of good English usage, grammar, spelling, punctuation, and required formats in order to type material in a professional, final form.

Position Summary:
Under direction, provides clerical support to Applicant Selection in the eligibility assessment of individuals for participation in the public housing and Housing Choice Voucher programs. The incumbent is primarily responsible for the scheduling, interviewing, and processing of individuals on the waiting list. This includes conducting phone and onsite interviews, processing background checks, and communicating results to appropriate parties; updating Elite, the computerized waiting list and generating correspondence to move the eligibility process forward pursuant to Elite’s documented applicant population; and all other duties as assigned.
