Illinois Humanities, the Illinois affiliate of the National Endowment for the Humanities, is a statewide nonprofit organization that activates the humanities through free public programs, grants, and educational opportunities that foster reflection, spark conversation, build community, and strengthen civic engagement. We provide free, high-quality humanities experiences throughout Illinois, particularly for communities of color, individuals living on low incomes, counties and towns in rural areas, small arts and cultural organizations, and communities highly impacted by mass incarceration. In 2021, Illinois Humanities reached 13,000 Illinois residents with free, public humanities programs and provided more than $1 million in grants to more than 200 organizations in nearly every county in the state.
POSITION SUMMARY:
Illinois Humanities seeks a highly motivated and skilled candidate for our newly created Staff Accountant position. The Staff Accountant is a key member of the finance team and is responsible for treasury management, month-end closing, postings to general ledger, inputting monthly journal entries, balance sheet account reconciliations, bank reconciliations, miscellaneous financial reports as requested, processing accounts payable, maintaining vendor files, coordinating all calendar year-end tax forms, and providing back-up for other functions within the Finance Department.
ESSENTIAL REPSONSIBILITIES:
- Oversee daily cash management and maintain bank accounts
- Record all payroll fee invoices in general ledger (MIP) and perform quarterly payroll reconciliations and analysis of fee and taxes
- Record all cash transactions in MIP, including development and all other miscellaneous revenue
- Record account transfers, bank fees, and electronic payments in MIP
- Assist with preparations for annual financial audit and annual tax filing and provide support during audit fieldwork
- Maintain carefully organized files of the company’s financial records in accordance with the document retention policy
- Maintain depreciation schedule pre- and post-monthly journal entry, reconciling monthly
- Support reconciliation of balance sheet accounts
- Reconcile custodial accounts for investments
- Review invoices for accuracy and ties-out balance to check requests
- Review general ledger coding and proper approvals on all check requests to ensure expenses are coded correctly per the budget
- Process check requests and invoices in MIP and banking systems (data entry)
- Prepare and process accounts payable checks
- Monitor accounts to ensure payments are up to date
- Resolve invoice discrepancies
- Correspond with vendors and respond to inquires
- Determine, process and issue 1099’s to the IRS by due dates
- Document and regularly update related processes and procedures
- In coordination with the finance team and the larger organization, support, implement, maintain, and report on work that upholds inclusion, diversity, equity, and access
- Other duties as assigned by Controller
EXPERIENCE, SKILLS, AND QUALIFICATIONS:
- Bachelor’s degree in Accounting plus 2 years as a Staff Accountant, preferably with a nonprofit organization, or equivalent skills and experience required
- Experience gathering and evaluating financial information and making accountable recommendations to senior leadership
- Experience inputting and processing journal entries into a computerized accounting system, as well as a solid understanding of general accounting principles
- Ability to analyze and reconcile balance sheet accounts and bank statements
- Excellent computer and superb Microsoft 365, particularly Excel, skills required
- Must be professional, analytical, detail-oriented and have excellent communication skills
- Abila MIP experience preferred
- Background and credit check required

WHAT WE ARE OFFERING:
- The annual salary for this position is $54,000–$57,000.
- Full-time employees are eligible for employer-provided health coverage (multiple plans offered at 80% employer paid premium for the employee), 401(k) (including a employer contribution), and other benefits
- 12 Vacation Days, 3 Personal days, and 8 days of Sick Leave available to all full-time employees annually, with additional earned vacation after two and five years of employment.
- Each full-time employee receives 11 paid holidays and 3 floating holidays annually.
WHAT TO EXPECT:
Step one: All submissions will be reviewed and the initial candidate pool will be formed after phone screenings. Not all submissions will make it into the candidate pool.
Step two: Candidates in the pool will take part in an interview with members of the Illinois Humanities Team via Zoom or in-person.
Step three: There may be additional interviews with the final candidates. Selection and placement of the final candidate will occur after this final round of interviews. Placement for this position is anticipated to occur in August, 2022. Once the final candidate has accepted their offer of employment, all other applicants will be notified of their status.
WORK ENVIRONMENT:
Our Chicago Loop office is accessible. Work at off-site locations is required and those may not necessarily be fully accessible. Evening and weekend work is sometimes required. This role routinely uses standard office equipment such as computers, phones, and scanners. Employee is regularly required to talk, hear, see, and communicate effectively via computer.
