Full Job Description
What You’ll Do:
Supports and demonstrates IMA’s core values
Values and understands the importance of diversity, equity, and inclusion among all IMA associates
Creates and maintains onboarding workflows within IMA’s ATS, assigning proper and updated new hire paperwork to meet compliance requirements
Serves as an admin user within the ATS, maintaining proper files and tasks, troubleshooting errors as they occur, and working directly with the ATS help desk as needed
Processes I-9s through Tracker and E-Verify within three business days of new hires starting
Distributes Non-Solicitation Agreements and Non-Disclosure Agreements, ensuring every new hire receives the correct form, adds necessary signatures, and files fully executed versions within personnel files
Responsible for data integrity within HRIS, having a thorough understanding of various coding, including proper titles, work locations, profit centers, and org levels
Works with HR Business Partners, Payroll, and the Directors of HR and Business Partnership to ensure all new hires and all employee changes are properly coded within the system; utilizes automated workflows to correct any incorrect data and/or make proper approvals
Continually monitors the HRIS workflow process for improved efficiencies and enhancements
Partners with Director of HR and Business Partnership to create and implement onboarding and orientation processes for new hires within acquired entities
Assists the Director of HR and Business Partnership with projects tied to M&A activity
Under the oversight of the Directors of HR and Business Partnership, recommends the creation of new epic codes for proper financial reporting
Downloads completed new hire paperwork within ATS and files appropriately within personnel files
Manages labor posters subscription services, ensuring compliance throughout all IMA locations
Processes terminations for the organization, including completing Separation Detail Sheets and any state-regulated separation paperwork to meet compliance requirements
Sends new hire check-in surveys and exit surveys to all new hires and exiting associates
Serves as backup to payroll for processing and filing employment verifications and unemployment claims
Helps create and maintain HR-related communications within IMA Central
Impacts associate experience by supporting, in collaboration with the HR Team, HR programs/initiatives, such as Employee Appreciation Day, HR team building events, and HR volunteer opportunities
Provides administrative support to CPO and HR Team as needed, including coordinating travel arrangements, coordinating meetings, taking notes, etc.

You Should Have::
1 to 2 years of similar or related experience preferred
Experience with MS Office products required (specifically Outlook, Word, Excel, and PowerPoint)
Strong organizational and time management skills
Exceptional attention to detail and high-quality standards
Excellent verbal and written communication skills
Sound judgment, maturity, and the ability to handle sensitive and confidential information with discretion
