Responsibilities
Participates in and conducts new hire and benefits orientation processes and employee recordkeeping activities and requirements to include: terminations, changes of address, direct deposit and tax withholding; processes and records employee status changes including terminations, changes of address, direct deposit and tax withholding. Administers workers’ compensation reporting and filing; communicates with the insurance company and employees as needed.
Maintains time accounting leave tracking for administrative management and prepares monthly internal reports. Prepares, distributes, verifies and reviews leave verification forms, and enters employee work time and leave data into timesheet systems. Confers with staff members to obtain or provide additional information needed to process payroll matters.
Provides administrative support for the Human Resources function.. Prepares documents on a timely and accurate basis in accordance with prescribed procedures; provides forms, copies and labels to staff as requested, establishes and maintains electronic office files
Assists with Benefits Administration – responds to employee questions on insurance plan usage and claims processing; assists in troubleshooting insurance claim problems.
Provides backup support, as needed, for events workshops and other special occasions. This support includes preparing correspondence and information packets for visiting participants, updating a detailed participant roster for management, and coordinating hotel room reservations. Acts as the administrative help-desk contact for the summer visiting personnel to provide general assistance and solve problems. Assists with and coordinates retirement dinners, summer picnics, outings and special events, as needed.
Administer SCAMP travel activities as well as candidates travel arrangements for on site interviews.
Performs other administrative duties as assigned.
Qualifications
High School diploma or equivalent; college coursework in applicable subject is desired.
Five or more years of progressively responsible experience in administrative function preferably in a Human Resources environment.
Demonstrated ability to operate effectively under deadlines with tact and diplomacy.
Strong interpersonal skills with the ability to communicate effectively orally and in writing with all levels of employees.
Experience using personal computers and associated software such as Microsoft Word, Microsoft Excel and Microsoft Publisher; experience with other automated systems such as Deltek Costpoint Timesheet Collection, Applicant Tracking System (Taleo or similar) and OmniForm Filler.
Successful completion of a criminal background check is required.
Ability to obtain and maintain TS/SCI clearance with poly; Active TS/SCI clearance with poly, preferred (or within two years)
U.S. Citizenship is required
Ability to obtain and maintain a security clearance is required
