Position Overview
Directly responsible for support and maintenance of the HRMS (JDE) as it relates to employee records. Establishes and maintains employee records and reports to in compliance with legal requirements. Directly responsible for onboarding record management and ensuring compliance with all applicable employment laws.
Duties
· Maintains personnel files in compliance with applicable legal requirements.
· Keeps employee records up to date by processing status changes in timely fashion.
· Prepare paperwork for all new hires to setup in JDE system.
· Research and resolve JDE issues as requested by other departments.
· Develop user procedures, guidelines, guidelines and training on JDE procedures for employee records.
· Maintain compliance with I9 and employee file retention guidelines.
· Files papers and documents into appropriate employee files
· Prepares new employee files.
· Manage locator card setup and changes.
· Manage employment law posters and process to include any updates as needed by law changes.
· Handles employment application intake.
· Performs computer data entry and file maintenance.
· Performs customer service functions by answering employee requests and questions.
· Monitor employee records for compliance and process completion.
· Research State specific laws for compliance.
· New hire reporting – E-Verify and MS New Hire Reporting
· Assists with processing of terminations.
· Prepare reports for internal communications.
· W-2 Maintenance and organize annual dissemination process.
· Maintain immigration files for all international and foreign workers.
· Assists with benefits programs, including enrollment, status changes and other general inquiries.
· Assists with leave of absence requests and disability paperwork.
· Special projects as assigned.
· Other duties as assigned.
Minimum Qualifications
· Two (2) to four (4) years in Human resources field
· Effective communication skills, oral & written.
· Experience in Word, Excel, HRIS database, and other applicable database programs helpful.
· Knowledge of Company policies/procedures & benefit package or the ability & willingness to learn.
· Strong organizational skills.
· Effectively communicate with people in potentially stressful situations.
· Ability to consistently meet daily, weekly and monthly deadlines.
