The Legal Operations Manager is responsible for managing and monitoring the overall workflow of the office within the Legal Services Department to ensure department goals and objectives are achieved. This position will act as a primary point of contact and liaison between department leaders, clients, external agencies, and functional leaders throughout JHM, on efforts ranging from project, document and vendor management to onboarding and process improvement efforts to special projects. This role is an opportunity to make significant positive change in the department’s overall operations.

Essential Functions:

• Develops, implements, and monitors all office procedures to ensure business needs are consistently met.
• Manages and coordinates legal support team by training, developing, mentoring and supporting staff.
• Maintains vendor records and processes payments to various vendors and/or outside counsel in a timely manner.
• Efficiently manages assigned projects to include planning, tracking and reporting.
• Seeks out and identifies opportunities for efficiency and innovation to assist department.
• Drives and supports various department implementations by working closely with cross-functional team members.
• Follows up with functional leaders as needed to keep efforts on time and communicate issues/progress.
• Coordinates and runs administrative elements of various administrative matters and other strategic projects as assigned.
• Leverages business knowledge and expertise to create, lead and successfully execute project plans, monitor and review project progress, timelines, and critical milestones.
• Meets monthly with senior leadership to review and discuss new and ongoing projects.
• Develops cross-departmental information sharing and collaboration processes and solutions.
• Provides staff support in planning and organizing cross-functional unit activities.
• Maintains effective working relationships with internal and external customers, such as Human Resources, Information Technology, vendors, and other departments and outside legal firms.
• Provides office support and managerial assistance to Practice Group Leaders.
• Executes special projects and tasks at the direction of the General Counsel and the Deputy General Counsel.
• Supports the department’s Director with staff support functions, such as processing payroll, onboarding and off-boarding processes and assisting with department recruiting, etc.
• Completes other responsibilities and special projects as assigned.

Education:

• Requires Bachelor’s degree. Master’s degree in Business Administration preferred.

Work Experience:

• A minimum of five (5) years of related experience.
• A minimum of four (4) years of direct management experience.
• Experienced in using team building and quality management concepts to positively influence the work environment.

Knowledge:

• Requires thorough knowledge of office and Health System administrative and budgeting procedures/policies and ability to organize and prioritize tasks.
• Requires thorough understanding of support staff positions with the ability to perform job functions.
• Strong demonstrated knowledge of spreadsheet, database, presentation, and word processing software.
• Fiscal awareness to make appropriate recommendations for software, equipment, supplies, etc.

Skills:

• Demonstrated ability to exercise good judgment in handling sensitive and confidential information and situations.
• Requires excellent verbal and interpersonal communications skills to interact diplomatically and tactfully with diverse groups of people, exchange information and produce written correspondence/reports.
• Requires excellent technical and business writing skills.
• Requires excellent computer experience with word processing, spreadsheet, graphic, presentation and database software management skills.
• Ability to identify potential barriers and strategies.
• Ability to synthesize and integrate information.
• Ability to control utilization of resources within budget.
• Requires the ability to present complex information, using language and analogies to effectively interact with all levels of personnel.
• Strong ability to reconcile vendor payment(s).
