Aloha! We’re seeking a Talent Acquisition Administrator to join our HR Talent Acquisition team. The Talent Acquisition (TA) department manages the full-cycle, enterprise-wide recruitment for all positions across our organization, including our 3 K-12 campuses, 31 preschools and various enterprise and community-focused divisions.
The Talent Acquisition Administrator will primarily support the pre-employment background check process for all hires across our organization. The ideal candidate will be customer-oriented, passionate about optimizing candidate engagement, and possess the ability to handle time-sensitive, high volume processing with consistency and accuracy.

This is a Hybrid position which provides work from home flexibility on an approval basis.
Job Summary
Delivers effective support of full-cycle recruitment for entry to professional positions. Ensures candidate engagement through active hiring manager participation. Partners with the Talent Acquisition team to support various client and organization recruitment needs. Ensures recruitment programs and initiatives enhance employee attraction, engagement and retention and deepen the connection of candidates and employees to KS’ mission, vision, values and culture.
Essential Responsibilities
Talent Acquisition
Manages recruitment for entry to mid-level professional positions and KS’ various seasonal (temporary hire) programs.
Conducts intake with hiring managers at the onset of recruitment to gather understanding of talent needs. Partners with senior TA members to ensure effective recruitment support (i.e. recruitment planning/strategy, sourcing, program needs assessment and refinement, etc.).
Screens applications, prescreens and/or interviews candidates as needed.
Provides timely candidate communications during the recruiting and hiring process to include effective management of applicant flow and dispositioning to ensure a positive candidate experience.
Maintains positive relationships and partners with hiring manager on daily transactional recruitment activities.
Partners with senior TA members to utilize data analytics to provide recruitment and interview process guidance and screening tools to hiring manager.
Employer Brand Strategy
Builds KS’ employer brand and presence through various community engagements to include but not be limited to social media networking, participation in job fairs and other community/recruitment events (i.e. mock interviews, resume writing workshops, etc.) and partners with Talent Acquisition team and clients to participate in other client specific industry related networking events.
Manages job fair preparation (i.e. job listings, packing and inventory of collateral, etc.).
Posts job vacancies to internal, external and industry specific professional sites and organizations.
Assists with the implementation of various advertising methods to attract specific talent and build the KS employer brand.
Manager and Candidate Experience
Continuously assess the experience of both the hiring manager and candidate to ensure effective processes and positive experiences are at the fore front of service.
Actively seek information and understanding pertaining to KS and direct client’s business, operations, services and employee base and translates that in to meaningful and interpretable information that can be provided to candidates to further their understanding of the position, department/division and organization.
Develop strong cross-functional relationships to create positive experience for stakeholders involved.
Identifies operational training needs and assists with conducting various manager trainings.
Hiring and Onboarding
Extends offers of employment.
Conducts pre-employment background checks and schedules new hire orientation.
Partners with Talent Acquisition team on escalated background check issues.
Position Requirements
Minimum Qualifications – An equivalent combination of education and experience may substitute for the requirements listed.
Bachelor’s Degree in Human Resources.
Minimum 1 year of related experience.
Excellent working knowledge of technology and proficiency with word processing, spreadsheets and database applications.
Knowledge of information/applicant tracking or recruiting systems.
Excellent written and verbal communication.
Exceptional customer service skills
Excellent organization and time management skills to manage competing priorities.
Ability to work independently, efficiently and effectively while maintaining attention to detail
Ability to handle confidential information
Physical and Mental Requirements
Frequently sits, perform desk-based computer tasks and grasp light or fine manipulation, talk or hear.
Occasionally stand and/or walk, write by hand, and lift and/or carry, push and/or pull objects that weigh up to 10 pounds.
Rarely twist, bend, stoop, squat, kneel, crawl, climb, reach or work above shoulder, or grasp forcefully.
Working Conditions (including environmental conditions)
This position may involve traveling to various locations, including neighbor islands to conduct business.
Work is conducted in an office environment and may require work to be conducted in non-standard workplaces.
Work is typically conducted Monday through Friday at normal business hours.
