Human Resources Assistant Job Description
Reports to HR Director
The Human Resources Assistant assists the Office of Human Resources in the day-to-day
operations, planning, organization and control of efficient processes that provides the
maximum benefits to the teachers, administrators and support staff.
The ability to interact with the public, staff and administrators in a fast-paced environment,
sometimes under pressure, while remaining flexible, proactive, resourceful and efficient,
with a high level of professionalism and confidentiality is crucial to this role. Expert level of
client service, written and verbal communication skills, strong decision-making and
attention to detail are equally important.
Must have the ability to deal with challenging situations, problem solve, prioritize tasks,
create and maintain a professional work environment, and be flexible enough to deal with
daily challenges of the system.
Duties/Responsibilities:
- Maintains accurate and up-to-date human resource files, records, and documentation.
- Responsible for new hire reporting including but not limited to Form I-9, ACA, NCDOL, and Licensure.
- Assists with payroll functions and reconciles monthly benefit invoices.
- Works with employees to answer payroll and benefit questions and assists in processing life events and open enrollment elections.
- Acts as a liaison between Lincoln Charter School and external benefits providers and vendors, which may include health, disability, and retirement plan providers.
- Assists with new hire orientation and benefits orientation to build a strong foundation for new employees and increase employee engagement.
- Assists in the development of policies and procedures, school job descriptions, employer-related benefit information and performance management tools.
- Responsible for census reporting including 401k and other census reporting requests as needed.
- Assists with the hiring process, including coordinating job posts, communicating job openings to Lincoln Charter staff and processing background investigations.
- Training and onboarding administrator for substitute teachers.
- Assists with compiling and submitting data for various audits, school financial, human resources and risk management.
- Risk Management: Liaison for General Liability, workers comp, student accident, auto, etc. Maintain/update driver and records for school owned vehicles relating.
Education and Experience:
- Associate degree in HR or a related field (Bachelor’s degree preferred)
- Minimum of 2 years experience in an administrative or support role
- Strong communication skills, both written and verbal
- Must be familiar with database systems and common HR applications.
Required Skills/Abilities:
- Excellent verbal and written communication skills.
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
- Excellent organizational skills and attention to detail.
- Proficient with GSuite or related software.
- Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), similar computer applications (LINQ) and talent acquisition sites.
- Payroll experience is a plus.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.

- Full time 12 month employee, full health and 401(k) benefits. Compensation commensurate with experience .
