Reporting to the HR Officer, the HR Associate will provide administrative support to key HR functions and assist the HR Officer in the day-to-day management of HR administration. The HR Associate will serve as the main point of contact for all HR related queries, administer the full employee life cycle in accordance with Malala Fund?s policies and procedures, and will work collaboratively with colleagues across multiple departments in coordinating all aspects of recruitment and onboarding processes as well as the benefits and learning and development. Incumbent will support various HR departmental initiatives, programs, and events, as well as serve on project teams and committees as and when needed.
The successful candidate will combine their passion to pursue a career in Human Resource Management with enthusiasm for Malala Fund?s mission-focused work. They will be an excellent organiser, a meticulous planner with strong attention to detail and be able to prioritise their workload effectively and efficiently.
II. Responsibilities
HR Administration
Acting as the first point of contact for all internal enquiries relating to HR by phone, email, online chat and face to face as required.
Carrying out administration of all Malala Fund?s policies and procedures.
Administer the full employee life cycle from onboarding to offboarding.?
Assisting employees with a wide range of queries, providing advice to employees on all HR related policies and procedures and escalating to the HR Officer where required.?
Administer US benefits for all US based employees.
Assist in the administration of Malala Fund?s learning and development initiatives.?
Preparing employment related letters, including contracts and any amendments to contracts.
Inputting, maintaining and, where required, correcting all employee data, records and documents held locally and within the HR Information System, ensuring compliance with national and international data protection regulations.?
Provide administrative assistance to HR related projects and the global expansion of Malala Fund.?
Assist the wider HR function with any other administrative needs.?
Recruitment and Selection
Support the HR Officer in all recruitment related activities, acting as the first point of contact for all recruitment related queries.
Managing the hiring inbox and responding to queries in a timely manner.?
Coordinating all aspects of the hiring process including advertising vacancies, scheduling interviews, acting as liaison between candidates and the hiring manager, and providing feedback to candidates.?
Update and maintain all recruitment related information on the recruitment system.?
Prepare and issue offer letters.?
Onboarding
Take ownership of Malala Fund?s onboarding process for new starters.?
Be the first point of contact for all new starters and maintain communication with new starters and acting as liaison between them and respective line-managers throughout the onboarding process.?
Liaise with all departments to prepare induction schedules for new starters.?
Work closely with the Operations team to ensure new starters have access to all Malala Fund systems and the issuance of relevant equipment.?
Carry out right to work and background checks in line with Malala Fund procedures and local legislation.?
Ensure all new starter documentation is sent, completed, and filed and process new starter information on the HR Information System.

Essential
Experience providing general office administration and human resource functions at a business or charity, ideally coupled with a relevant degree.?
Demonstrable interest in pursuing a career in human resources.?
