General Overview
Reporting to the Supervisor of Physician Compensation, the HR Coordinator is responsible for supporting the Professional Staff Compensation team. The incumbent will be responsible for screening and processing Human Resources/Compensation transactions via Peoplesoft for monthly paid senior management and the professional staff of the MGPO and Mass General Brigham Residents including MDs, PhDs, Fellows and Residents, from hire through termination. In addition, this role also supports IHP, BWPO and BWH professional staff compensation functions in varying ways including processing new hires and additional employee documentation and tasks as needed. The HR Coordinator may also be asked to assist with other HR related issues, employee benefits, and numerous other functions.
The HR Coordinator directly interfaces with Peoplesoft/department managers, Physicians and other Professional Staff, Payroll, Central Credentialing Office, Research Administration and many others.
The Professional Staff Compensation team reviews and processes transactions including new hire paperwork, regular salary payments, salary changes and retroactive adjustments, special payments, bonuses, deferred compensation awards and distributions, and loan transactions for approximately 8,100 professional staff.
About the ~3,800 MGPO physicians, the Professional Staff Compensation team is responsible for analyzing the total compensation for each physician with a related compensation request to determine whether the compensation meets the MGPO Compensation and Personnel Practices Committee guidelines and deciding as to whether a transaction needs to be approved by the Committee. This review utilizes market data (specifically, Medical Group Management Association “MGMA” and Association of American Medical Colleges “AAMC”) for total compensation benchmark comparisons. The effectiveness of this process is critical to the success of the unit.
Principal Duties and Responsibilities
Manage the onboarding/new hire process:
o Review, adjudicate and maintain specialized applicant information in a complex database and coordinates the appointment and onboarding process for the non-clinical Professional Staff.
o Ensure the appointment process complies with the bylaws of the Professional Staff of the General Hospital.
Monitor visa/work authorizations with expiring dates and work with Physicians/Professional Staff as needed to resolve renewal issues
Manage reappointment process for non-clinical professional staff
Monitor the MGH/MGPO malpractice mailbox and take appropriate action as needed
Ensure that the fiduciary responsibility of the MGPO Board of Trustees Compensation Committee is strictly adhered to with appropriate screening of all MGPO professional staff transactions:
Respond on behalf of institution when verification of employment requests are received
Develop and run ad hoc/routine Peoplesoft and IPORT queries/reports
Act as liaison with the Payroll Office for issues related to the monthly payroll
Assist with identification of inaccuracies, inefficiencies, and duplication of effort
Assist with special projects including preparing PowerPoint slides, excel spreadsheets, and other presentation materials, as needed
Provide backup for other team members, including supervisor, as needed
Other duties and projects as assigned
Qualifications
Bachelor’s degree strongly preferred
Peoplesoft experience desired
Skills, Abilities and Competencies
Solid computer skills required, particularly Microsoft Outlook and Excel
Familiarity with federal immigration rules as they apply to work authorization visas, including but not limited to J-1, H-1B, TN visas
Good understanding of the regulatory I-9 process is helpful
Well-developed verbal and written communication skills to provide appropriate level of support, communicating issues and resolution to all levels of staff and management
Strong attention to detail
Ability to handle sensitive and confidential information
Ability to adhere to deadlines
Must be extremely well organized and have the ability to multitask
Must possess excellent interpersonal skills
Ability to contribute as a team player, sharing information in a timely and accurate manner
Ability to stay focused and proficient in a high volume, detail-oriented environment
Ability to work independently with limited supervision
General understanding of employment law is helpful
