Compensation: $61,236.00 – $67,350.00
Job Summary
This position is dedicated to providing office support for the Department of Safety, Facilities, and Operations. This position will be responsible for record-keeping, collaboration on documentation, technical support, policy and procedure writing, processing invoices, and maintaining office presentation. This position will take on special projects as assigned. This position has the primary safety function of emergency response communication; which includes answering and responding to calls on the 24-7 phone during each shift. As an essential employee, this position will be required to report to work even when normal operations have ceased, including inclement weather closures and other crises situations. This person with the help of the University and multiple departments produces the Annual Security and Fire Safety Report mandated by the 1990 Jeanne Clery disclosure of Security Policy and Campus Crime Statistics Act.
This is a full time, 40 hour a week position with a flexible work schedule and will be able to work 1 day a week from home.
Job Duties & Responsibilities
Office Management
•Serve as the initial point of contact for the Department of Safety & Facilities office including answering incoming telephone calls and responding to general inquiries.
•Track and report on budgets as necessary.
•Maintain all Facilities & Operations purchasing policies, departmental forms and motor vehicles registration compliance.
•Perform general office duties including copying, faxing, mail, etc.
•Maintain office equipment and general office organization.
•Assist with setup, record departmental meeting minutes and other events as necessary.
•Keep the Department of Safety & Facilities information on Naropa websites accurate and up-to-date.
•Will have a support team of caretakers and managers.
•Create and complete work requests as necessary.
•Maintain key database, inventory, and requests.
•Complete University wide ergonomic reviews.
Documentation and Communication
•Maintain strict confidentiality of information including access codes, incident reports, and investigation details.
•Understand, write and document annual report under the Clery Act.
•Organize daily log and incident reports for tracking.
•Report the Universities daily space usage via email to managers along with supervisors.
•Collaborate in the creation of job descriptions for staff positions.
•Act as a member of the University Threat Assessment Team with the responsibility to document incidents using the Pre-Threat Assessment Screening and the Threat Assessment Protocol.
•Report all significant incidents and issues to the Director of Campus Safety, Facilities and Operations.
Safety Response
•As an Essential Employee, handles Emergency Response communication to all the campuses as necessary.
•As an Essential Employee, answer the 24 -7 phone during weekly shift and on a rotating weekend schedule with other personnel.
•Respond to alarms, calls of distress, and routine calls for service.
•Ensure a safe working environment while supervising the Facilities department and employees.
•Management of building access systems including: controlled access systems and lock and key systems. Management includes responsibility for systems development and relationships, community education, key issue and retrieval, and database management.
What Naropa Requires…
•Bachelor’s degree or equivalent job experience. May have 2 more years of administrative experience in lieu of degree.
•2 years professional administrative work experience.
•Proficiency with Microsoft Office suite as well as the ability to learn new programs.
•Willing to be certified in CPR, First Aid, and Universal Precautions and be willing and able to maintain that certification.
•Strong sense of initiative and self-direction, high level of motivation, ability to prioritize, commitment to teamwork, sense of humor, and service orientation.
•Excellent verbal and written communication skills.
•Ability to work occasional nights, weekends, and overtime.
•Valid Colorado driver’s license.

•8 years of professional administrative work experience on a facilities team.
•Prior experience learning and becoming and expert with new software systems quickly.
•Previous work experience in higher education environment.
•Prior project management experience.
