POSITION SUMMARY
The Construction Project Assistant will be delegated a diversity of duties. As a Construction Project Assistant, one will become multifaceted by interacting amongst all on-site team members. The Construction Project Assistant will primarily assist the PBA & Sr. Project Manager. During the high-volume bidding season, the Construction Project Assistant will be additional tasked with providing support for other team members. The objective of this position is to groom an individual who is eventually seeking in becoming a project manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The Construction Project Assistant will manage and execute the following. The information below is not a full comprehensive breakout of duties & responsibilities for this position. Additional duties & responsibilities can & will be subsidized to the Construction Project Assistant accordingly.
Assists PBA with subcontract/subcontract adjustment packages for subcontractor signature in accordance with corporate procedure; ensures all required documentation for subcontractors and tiered subcontractors is maintained in file; distributes signed subcontracts / subcontractor adjustments for file copy and subcontractor copy; ensures all subcontractor and/or vendor informational requirements are kept current and accurate.
Greets and directs visitors to appropriate personnel; answers, screens and directs all incoming calls; reads and routes incoming distribution; makes copies of correspondence or other printed materials; prepares outgoing distribution, including e-mail and faxes; maintains distribution systems between clients, subcontractors, vendors, and corporate entities; and prepares and distributes weekly corporate distribution package in accordance with corporate procedures.
Assists PBA with Subcontractor Payment Authorizations and Subcontractor Partial/Final Release of Claims; reviews and enters subcontractor accruals into appropriate site accounting software programs, ensuring payments are processed, received at site, and disbursed to subcontractors and/or vendors; and processes subcontractor special pay requests in accordance with corporate procedures. Assists with preparation and tracking of monthly billings to ensure accurate and timely submission and processes site AP invoices and Subcontractor payments.
Assists the Senior Project Manager with reviews of project proposals, blueprints, specifications, and other documentation to determine time frame, funding requirements, procedures for accomplishing project, staffing, materials, plant and equipment requirements, and allotment of available resources necessary to complete project.
Assists the Senior Project Manager by attending project site visits, obtains and evaluates subcontractor bids; Coordinates activities of project personnel and/or subcontractors to ensure project progresses on schedule and within prescribed budget.
Assists the Senior Project Manager with the review of submittals, RFIs, and the submission of such documents.
Provides current project status to the Senior Project Manager. Ensures appropriate documentation is compiled and reported to facilitate project billings.
Ensures project(s) close-out documentation is compiled, submitted, and accepted by client.

PREFERRED QUALIFICATIONS
EDUCATION and/or EXPERIENCE
Bachelor’s degree (B. S.) from four-year college or university in any Construction related field is highly desirable. Related experience and/or training; or equivalent combination of education and experience will be considered. Intermediate computer skills are required, advanced knowledge of Microsoft Excel & Microsoft word is required. Must be proficient with Adobe Acrobat & reader
Experience dealing with JOC/SABER/IDIQ/Task orders is also highly desired as well as experience dealing with the ACOE.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, blueprints, scale drawings, schematics, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
