The Office of the President is seeking a proactive, initiative-taking Executive Assistant (EA) to join a high-paced executive office. The EA will be expected to complete a range of administrative tasks and will be part of a two-person support team with primary responsibility for the CEO’s schedule. In addition, the EA will assist with reports and presentations, assist in compiling board materials, and will complete special assignments as required.Additionally, this position supports, through actions and conduct, NYBG’s Inclusion, Diversity, Equity and Accessibility (IDEA) initiatives and actively helps to build and maintain an inclusive organizational culture throughout the institution.Specific Duties & Responsibilities* Responsible for CEO scheduling and compiling advance briefings and materials.* Screens and directs phone calls and distributes correspondence.* Manages requests and queries from staff, trustees, and others appropriately and efficiently.* Maintains organizational systems (i.e. filing, database, records).* Takes notes and meeting minutes.* Books travel reservations and submits travel reports.* Conducts and compiles research as needed.* Prepares reports and presentations.* Organizes special meetings, luncheons and events for the CEO.* Other duties and special projects as assigned.Qualifications* At least five years of administrative experience; not-for-profit cultural organization experience a plus.* Highly developed organizational, communication and interpersonal skills.* Strong writing and editing skills.* Strong and varied computer skills including advanced Microsoft Office and PowerPoint; with research skills for varied projects.* Superior time management and organizational skills, ability to multitask and meet deadlines.* Diplomacy, tact, discretion and ability to maintain confidentiality.* Ability to receive constructive feedback.* A self-starter willing to be proactive, take initiative, and follow up as necessary.If you require an accommodation for any part of the application process, please notify the Human Resources department at [email protected]/M/F/Disabled/Veteran
