Position Overview:
The HR/Receptionist position will be responsible for the operation of the OIC of WA main office receptionist station, this includes receiving and distributing all incoming mail, providing postage to all outgoing mail for the agency. Answering all incoming calls and forwarding those calls to the appropriate departments. The ideal candidate for this position will have excellent customer services skills and the ability to show compassion and patience with our customer service base and our staff. This position is also responsible for the recruitment and onboarding of all positions within OIC of WA. The ideal candidate will have excellent written and verbal communication skills, attention to detail. This position will also be the liaison between management and the new employees. This position will also be responsible for coordinating and scheduling all interviews. The HR/Receptionist will enroll clients using complex data and communication tools.
ESSENTIAL FUNCTIONS:
1. Must process all incoming and outgoing mail for the entire agency.
2. Will answer all incoming calls to the agency on a multiline phone, forwarding calls to the appropriate department.
3. Will post all vacant positions on various recruitment platforms.
4. Will provide agency wide notice of all vacant positions.
5. Must track and document all requests to post positions, re-open and close positions.
6. Reviews applications and forwards them to the HR team and Hiring team for their consideration.
7. Schedules all face to face or virtual interviews via email and or phone call.
8. Answering all emails and phone calls from applicants.
9. Provides hire offer to candidate and establishes the start date.
10.Sends follow up letter to interviewees who were not hired.
11.Will conduct background screening and reference checks on all applicants who have been offered a position.
12.Provides update to HR team and Hiring Team as to the status of the offer.
13.Coordinates with the HR team to complete the complete the onboarding process.
14.Uses recruitment software to track the progress of interviewees through the hiring process.
15.Other duties as assigned.
