Function/Duties of Position:
HRIS Transactional Processing: Performs a variety of day-to-day administrative Human Resource Information System (HRIS) functions ensuring data integrity and the processing and reporting of HR data. Works independently under general direction. Handles problems and non-routine situations by determining the approach or action to take and interprets contracts, guidelines, procedures, policies, and practices. Confirms accuracy and integrity of all data entered in HRIS systems and assures information is available on a timely basis and complies with established approval requirements by mission (where applicable). Reviews routine daily/weekly/monthly auditing, researches, and corrects any data discrepancies. Consolidates employee data and documents between multiple systems to maintain the integrity of the official employee personnel record.
Employee Communication: Respond to basic questions in the various HR Service emails boxes and takes action when necessary. Forward more complex requests to COEs for resolution; present to employees at benefits information sessions; draft letters as requested by employees regarding coverage and employment; monitor the Benefits, Retirement, and Records website for outdated materials and links; identify areas for improvement on the website and propose enhancements. Assist employees and redirect calls as needed on the benefits phone queue.
Benefits Processing: Prepare and run monthly premium reconciliation reports; process enrollment and update forms; process variety of court ordered insurance items such as National Support Orders and Qualified Domestic Relations Orders; complete urgent adds with vendors, assist employees with benefits enrollment, review and complete retirement plan loan and hardship requests.
Employees Support: Tracks and follows up on new hire paperwork, including I-9s, federal and state compliance forms, and intellectual property information. Provides back up for HR Service Center Receptionist as needed.
Administrative Duties: Scan hard-copy forms, write up summaries for meetings, and provide coverage for the Central HR front desk.
Other Duties As Assigned: Projects will be assigned to HR Service Center Representatives in specific areas to enhance their knowledge of OHSU benefits programs and HRE processes. These may include developing a draft of an employee communication, conducting an audit of employee data, creating or optimizing a report for another Benefits team member, etc.
Required Qualifications:
High school diploma and one year of general office or secretarial experience or equivalent combination of training and experience
MS Office Suite skills, including intermediate Excel skills
Customer service skills – sensitivity to employees with diverse needs and circumstances
Must be able to perform the essential functions of the position with or without accommodation
Preferred Qualifications:
Undergraduate degree
Experience in an HR department
2 years of support or customer service work in an office setting
Knowledge of Oracle
Knowledge of OnBase
Webpage maintenance
